We are currently looking to recruit a team assistant to work in our Real Estate team on a 12-month fixed term basis.

As a Team Assistant you will provide proactive and professional legal support, working with every member of the Real Estate team who are based across our three offices to ensure that the department’s administrative needs are met. Over time, we see you progressing to providing support on increasingly complex legal tasks and working independently. You will have excellent attention to detail and communication skills.

**Responsibilities include but are not limited to**:

- Carrying out searches using online systems, e.g. PSG/TM Group, Land Registry Direct, Companies House, lawyer checker;
- Preparing bundles and binding.
- Entering daily post onto our case management system correctly and distributing within the team;
- Undertaking regular reviews of files, checking account balances to ensure that all files which are not current are closed and archived;
- Taking accurate phone messages, trying to assist and answer any non-legal queries if possible;
- Running weekly matter reports, weekly debtors reports and monthly retainer reports for the Department Manager;
- Liaising with the Finance Department regarding retainer arrangements and charge bands;
- Checking for and proactively dealing with monies on account and whether bills have been paid; preparation of reconciliation statements for fee earner approval as required;
- Arranging internal team meetings, collating and preparing information for internal meetings, producing agendas and preparing / circulating required papers and typing any meeting minutes required;
- Develop and maintain your knowledge and understanding of your team’s legal area to support delivery of optimum client service;

- The ability to communicate effectively and confidently at all levels both internally and externally and to establish and maintain good working relationships including the ability to adapt to a range of different working styles;
- A proactive, flexible, can-do approach to highlight issues and suggest possible solutions and improvements, and take responsibility for getting things done;
- Experience of handling confidential information and maintaining confidentiality.

**Hours**:
37.5 hours Monday to Friday 9am - 5.30pm.
