**Business Support Administrators (BSAs) - **these roles are central to the effective running of our community mental health teams. No day is the same in our busy community bases and tasks include answering the telephone and meeting and greeting patients; arranging appointments and managing clinics; typing up correspondence and digital dictation; maintaining accurate clinical records, minuting clinical meetings and processing referrals.

**Medical Support Secretaries (MSSs) - **provide essential support to named Consultants as well as other doctors and nurse prescribers. Tasks are similar to those of the Business Support Administrators with a focus on managing clinical diaries and arranging appointments, preparation of confidential clinic letters and reports and the administration of prescriptions.

**Core hours for all roles are 9.00am - 5pm; 37.5 hours per week - Opportunities for part-time and flexible working where service needs allow.**

**About you**:We are looking for highly skilled, professional, personable and committed administrators to join our teams. You should have a flexible approach to work with the ability to multi-task and prioritise your workload accordingly as well as a willingness to provide support to your colleagues where required. You will often work under pressure and without direct supervision so we are looking for people who are calm, confident and capable with excellent organisational skills and a keen eye for detail. You will also be a great team player with the ability to work with a wide range of people and a can-do attitude.

You will have experience of working in a team providing administrative support in an office environment including reception cover. The roles involve communication, so we expect that you will have excellent verbal and written skills; these will be tested as you produce reports, maintain filing systems and records and take accurate meeting minutes. We expect you to have a working knowledge of Microsoft Office packages. You will be required to coordinate, attend and minute meetings on a regular basis. Experience of working within a multidisciplinary team and knowledge of clinical referral processes are desirable

The clinical teams provide care and treatment to people with mental health needs so compassion and understanding is extremely important in these roles as you will be the first point of contact for our service users, their family and carers as well as professionals. To do this you will have excellent communication skills and an outstanding telephone manner. You will be confident in giving non-clinical information and advice; dealing with sensitive information daily, you will understand the importance of data security.

- A solid background in administration
- Experience of working in a busy office environment
- Excellent customer service and communication skills
- A confident, proactive and organised approach to your work
- Excellent IT skills and proficiency using Microsoft Office
- Formal note taking/minuting skills and experience

**The locations**:You will have a fixed base at one of our community locations in **Bideford, Barnstaple, Crediton, Exeter, Exmouth, Honiton, Ivybridge, Paignton, Newton Abbot, Tavistock, Tiverton, Torquay and Totnes. **These roles require staff to work from base and occasionally you may be asked to travel to other bases if cover is required.
