**About the Role**

Being the go-to administrator for our teams in our office, you’ll be super organised supporting in all thing’s admin related in our site

You’ll be assisting with a variety of things from running finance reports, payroll duties and to attend meetings.

We want you to bring your ability to prioritise tasks, organisational skills and your experience of working in a similar role with you when you join us. Don’t forget to bring your IT knowhow too

You’ll be customer and client facing and will respond to requests so having excellent customer service and communication skills is key. Being a team player is also important, there’s no ‘I’ in team

As you’ll be dealing with sensitive information at times you must have excellent attention to detail as well as be able to always maintain professional standards of confidentiality.

Main Responsibilities
- Run finance reports and HR/people submissions completed within agreed timescales.
- Prepare clear and concise administration, people, and financial records/reports for the Management team.
- To ensure the account management team have all necessary documentation associated with the recruitment process and the employment of staff including interviewing and reference letters, letters of appointment, contracts of employment and security vetting.
- Ensure all payroll duties are carried out in line with company policy to ensure Sodexo employees are paid correctly and in a timely fashion.
- Manage the set up and update payroll data within UDC for all new and existing staff, ensuring the organisation hierarchy and positions are all aligned and distributed to the correct cost centres
- Support and audit the set up of all personnel files for new and existing staff.
- Ensure all contract accounts and invoicing procedures are correctly managed and maintained to Sodexo standards.
- Support with accurate P&L reporting in SAP.
- Raising and gaining approval on quotes for discrete and adhoc costs.
- Completion of log for, discrete and NTC works.
- Completion of e-prophit returns.
- Develop and maintain management metrics for governance reports.
- Maintain the on-site contractor database and documentation.
- Prepare for and support the Service Managers.
- Ability to prioritise and manage own workload.
- Documents are produced to a high standard and contain all the required information.
- To undertake any further reasonable request as directed by line manager or additional reporting line manager.
- Attend meetings as required, take minutes and circulate notes as appropriate to attendees.
- Ensure that the Training Matrix is available in line with the Training and Development Plan of all Service Operation Managers areas. Take direction from each Service Operation Manager as to the relevant training required for their area.
- Excellent communications skills exhibited by building strong relationships with colleagues and customers.
- Previous experience of administration, people, and finance processes.
- Demonstrates self-awareness.
- Strong customer service skills
- Excellent organisational skills, including the ability to work to tight deadlines and prioritise workload efficiently.
- Ability to work flexibly and adapt to developing situations.
- Ability to be innovative, support the team with new ideas, and develop and improve admin processes.
- Good verbal communication skills.
- A good understand of why confidentiality is essential in this role.
