**Smithfield Market Tenants’ Association**
The Association was founded in 1869 shortly after the construction of the Victorian market buildings. It is funded by its members, the meat traders at Smithfield Market. Today it is governed by an elected Council made up of 13 senior directors on a voluntary basis. They represent different companies on the Market and between them cover the complete range of commodities sold on the Market. The Association exists to support and protect the commercial and employment interests of its Members. The traders have recently agreed terms with their landlords, the City of London, to move the Market to Barking and Dagenham in approximately five years’ time so while the position is currently located in Farringdon it will move with the Market.

**Association Executive**

**Main Purpose of the Job**:

- Perform a Chief Executive Officer role for the Association
- Responsible to the Association Chairman, Treasurer, Officers and Council
- Responsible for the Office Administrator

**Scope of the Job**:

- Provide a service to around 25 autonomous businesses, with limited resources, i.e. one
full time member of staff and an annual main account budget of around £170k
- Monitor legal, commercial and political issues which impact on members’ businesses
- Develop Association policy and strategy with Association Chairman

**Main responsibilities**:

- Manage the administration of Association business and the Association Office
- Control expenditure against agreed budget
- Negotiate with the landlord, the City of London Corporation, in all matters connected
with members’ leases and the operation of the Market
- Negotiate with the recognised Trades Union
- Represent the Association and individual members in dispute, dismissal, Hygiene and
Health & Safety procedures
- Advise Association members on Industrial Relations, Employment Law, Food Hygiene
Laws, Health & Safety and other management and commercial issues
- Set the agenda items for meetings of the Association and its Council, with the approval of
the Chairman
- Minute meetings of Members, of Council and other meetings as required
- Develop contacts with the City of London, the Food Standards Agency and other bodies
and institutions to further the interests of members, including organising and attending
appropriate events
- Maintain good communication with members and between members
- Maintain regular contact with the Chairman and other Officers and carry out additional
tasks as required
- Manage the website and other PR activities

**Hours**
40 hours per week (Monday to Friday) including lunch breaks, normally worked 7am to 3pm but some flexibility is essential as occasional earlier starts/late finishes will be required. You will be expected to work full-time in the Association’s offices at Smithfield Market. This is a permanent position.

**Person specification**

**Essential Skills**:

- Ability to prepare budgets and annual financial statements
- Ability to seek, locate and analyse information quickly
- Excellent, effective verbal and written communication skills
- Ability to manage own workload, working to tight deadlines, with competing and
conflicting demands but without close supervision
- Competence in the use of Microsoft Word, Excel, Outlook, Teams etc
- Ability to troubleshoot basic PC and printer problems

**Desirable Skills**:

- Basic familiarity with website maintenance
- Ability to manage a small office network

**Essential Knowledge**:

- Knowledge of employment law and good practice in human resources
- Understanding of issues likely to arise in facilities/building management
- Demonstrable experience of a wide range of duties at management level including
- setting and monitoring budgets and financial reporting
- staff supervision and development
- facilities management
- negotiations with Trade Unions

**Desirable Knowledge**:

- Knowledge of good practice in health and safety
- Understanding of the current issues in food hygiene
- Customer or visitor relations
- Organising boards or committees
- Organising internal/external events
- Negotiating with public bodies
- Experience of handling confidential matters

**Personal Attributes and Circumstances**:

- Able to work flexibly in a small office working environment, inclusing under pressure
- Able to work flexible and unsocial hours including late nights/early mornings/weekends
as and when required to attend occasional meetings to meet the needs of the Market
- High level of interpersonal skills, able to deal with contacts at all levels, showing tact and
diplomacy including political awareness and sensitivity to confidential issues
- Able to work alone for extended periods
