**Duties**
- Assist the Scheme Manager in all aspects of contractor administration including organising planned maintenance and coordinating visits.
- Producing rotas for teams including maintenance and housekeeping
- Ensuring all maintenance team are handling logs on student portal and responding accordingly to customers prioritising and escalating to contractor where necessary.
- Customer Care and Pastoral Support_
- Provide front desk, telephone and written support to customers and stakeholders in line with Capitol Students company policy.
- Provide support, sign post to organisations to assist them in dealing with student life e.g. financial advice, learning support, university life.
- Business Development _
- Arranging and performing sales viewings for prospective customers.
- Promoting the business at University open days.
- Facilities Management Support_
- Manage the facilities team and lead on all resident raised maintenance requests to ensure timely SLA.
- Coordinate with contractors for maintenance issues that are unable to be resolved in house.
- Communicating with residents regarding works scheduled to be carried out and access to rooms being required.
- Oversee and schedule in house planned maintenance and compliance tasks, updating records as necessary.
- Liaise with FM & HS team regularly to action audit and inspection tasks
- Review and update relevant Risk Assessments
- Increase H&S awareness and promote a positive H&S culture throughout sites including the delivery of toolbox talks

Other duties as required to assist with the business cycle
- Assist with ad hoc requests as necessary for business needs especially at peak times such as student move in and move out weekends, as well as forming part of any required Festive Cover arrangements and Public Holiday Cover.
- Perform and document regular inspections of student flats - Assist with summer deep clean and maintenance programme of works.
- Assist with the recruitment of new staff members to all departments as necessary and delivery of induction and training plans.
- Assist the Scheme Manager with site on call mobile cover where applicable.
- Assist in purchasing/ordering various items for site, assessing multiple suppliers in advance, remaining within budget.

Skills/competencies
1. Effective communicator
2. Competent user of Microsoft Office, purchasing systems and knowledge of Accommodation Sector booking systems.
3. Ability to confidently deal with customer complaints in a professional manner.

Knowledge
1. PBSA and / or University Accommodation Sector Experience
2. Understanding of (HMO), Housing of Multiple Occupancy legislation.
3. Contributing to successful sales cycles

Previous experience required
1. PBSA and / or University Accommodation Management experience / BTR / Hospitality
2. Experience/Knowledge of: staff appraisal, staff supervision & team management
3. Sales and Allocations experience
4. Knowledge of statutory and regulatory compliance

5. Knowledge of Health & Safety Legislation

6. Project management
