Clinical Support Administrator

Job Summary The post holder will work within the culture and values of the hospice in the provision of specialist palliative care by providing administrative support primarily to the inpatient unit. The post holder is responsible for a high-quality administrative support within Clinical Services. Providing Cross cover with other Clinical Administrator posts as required. Working accurately and efficiently and ensuring confidentiality is maintained at all times.
To work closely with all members of the multi-disciplinary team and foster good working relationships with other healthcare professionals and users of service to ensure the delivery of high standards of effective healthcare. Key Responsibilities -Main Duties To support the experience and flow of patients through the inpatient unit by: Admission Completing all administrative tasks relating to admissions including but not limited to: Processing referrals on electronic patient healthcare records (SystmOne). Liaising with refers, place of care and patients or families on day of admission Arranging transport Greeting patient and relatives on arrival to the inpatient unit. Updating patient records and information systems and relevant hospice staff and volunteers on arrival.
Discharges Completing all administrative tasks relating to discharges including but not limited to: Supporting the completion and sharing of documentation relevant to discharge Including the timely scanning of paper records onto the electronic patient healthcare records. Arranging transport and supporting communication with patient, families, internal and external professionals as required. Deaths Completing all administrative tasks relating to patient deaths including but not limited to: Completing the required CQC notifications relating to death To support the preparation of death certificate registration, communication with the medical examiners, undertakers, registry office and coroner as required. Updating patient records and information systems and relevant hospice staff and volunteers Patient Experience To support the positive experience of the inpatient unit for patient and carers by: Establish and maintain excellent communication systems with internal and external stakeholders to support timely and efficient service provision.
Be a point of contact for patients, carers, and other agencies/disciplines, liaising in a professional manner, ensuring that complex and sensitive information is communicated with empathy and reassurance. Maintaining a supportive and compassionate communication at all times, being prepared to speak with distressed patients and carers Maintaining a welcoming reception area, with updated information. Supporting the wars team to maintain an organised and efficient office space, supporting safe working and confidentiality Managing incoming phone calls and enquires to the IPU, communicating effectively with the team and patients as required, whilst maintaining patient confidentiality. Ensure the efficient co-ordination of organisational surveys relevant to IPU supporting the completion of surveys, feedback systems and audit as required.
The post holder should ensure they are familiar with and adhere to all hospice information and governance policies and procedures. Audits; Data Collection and Statistics Assist Clinical Services Manager in the production, updating and reporting of audits related to the IPU. Including producing master spreadsheets, periodic spreadsheets, and the input of data as appropriate and to assist team leaders with the completion of data input and production of reports. Any other duties reasonably assigned by the nurse in charge, Ward Sister, and Clinical Services Manager Clinical Support Team To provide cover for other Clinical Support Administrator roles during periods of absence ensuring workload is prioritised, evenly distributed and completed within recommended timescales.
Maintain competency in all areas to support cross cover arrangements. To maintain the supply of documentation / stationery as required within the IPU and across clinical services. Governance Adherence of policies/procedures, which are applicable to Clinical Support Administrator (Inpatients) role. To observe the provisions of and adhere to all Hospice policies and procedures.
To participate actively in the annual performance review to identify personal development needs. To attend or undertake online Hospice Statutory and Mandatory training sessions as required and any other training courses relevant to the post. Wirral Hospice St Johns has a responsibility to ensure that all children / young people and adults are adequately safeguarded and protected and that Safeguarding is Everyones Business.
