**Key duties and Responsibilities**

**1. Communication and Liaison**:

- Act as a key liaison between the EA to the CEO, COO & Board of Directors, the Executive Team and external/internal stakeholders, including team members, partners, and clients.

**2. Administrative Support**:

- Provide comprehensive administrative support to the Executive team, including managing calendars, coordinating travel arrangements and scheduling meetings over international time zones.
- Prepare and edit correspondence, reports, and presentations on behalf of the executives.

**3. Project Support**:

- Support the Executive Team on projects as needed, demonstrating adaptability and flexibility and project manage detailed tasks unaided.
- Act as the key contact in the coordination and tracking of various projects, ensuring deadlines are met and objectives are achieved.
- Produce reports for executive team.

**4. Meeting Coordination**:

- Coordinate and schedule all internal governance meetings (Quarterly Board, ExecCo, RemCo, Risk & Governance, Product & Governance this list is not exhaustive) and external meetings, ensuring all papers are collated and distributed ahead of time.
- Attend various meetings in person, take accurate notes & minutes, and follow up on action items to ensure timely execution.
- Meet and greet external clients and provide refreshments and lunch when required.

**5. Travel Management**:

- Manage travel expenses and reconcile reimbursement requests.

**6. Event Coordinator**:

- Lead the planning and organisation of meetings, conferences and company events when required, this may on a rare occasion require additional hours outside of working hours.

**7. Ad Hoc**:

- Support ad hoc projects related to facilities management and office moves.

This list is not exhaustive.

**Specialist Requirements**
- Extensive experience working at board level and supporting C-Suite/Executive Team or have worked in a leadership role.
- You must have minuted at board level with a high degree of accuracy
- Clear and professional communication skills
- Ability to work under pressure with experience of handling multiple tasks and confidential information.
- Proficient IT skills and proficiency in MS Suite, particularly Word, Excel & PowerPoint.
- Educated to at least GCSE level A-C Grades (preferably A level or degree.

**Behaviour**:

- It’s essential that the Executive Assistant is enthusiastic, dynamic, proactive and driven, as well as able to demonstrate our values: honesty, transparency, respectfulness and open-mindedness. It’s also essential for the Executive Assistant to maintain confidentiality at all times and remains calm when under pressure.

**Other duties**:

- To work positively and inclusively with all colleagues, customers and business partners to promote a workplace that values equality and diversity.
- To adhere to all company policies and procedures as set out in the company handbook.
