The 18 week pathway requires the NHS to measure the total period waited by each patient (from referral to treatment) and to manage each patient’s journey from referral to treatment in a timely and efficient manner. Providing accurate information on how long pathways are is essential; improvements to services rely on information being reliable and being provided as close to real-time as possible, and reports to the Department of Health are produced and published so that patients can see how long they will wait at each Trust.

The role of the Validation Officer is to ensure that the information, at patient level, is accurately recorded before being reported to the Department of Health by validating the information held on our electronic systems.

In addition to ensure that all Specialist Surgery patients receive follow up appointments in line with the recommendations of the clinical team. The post holder is required to check the records of any patient on the system who has not been marked as discharged, but that doesn’t have a follow up appointment booked. Close liaison with colleagues to ensure that appropriate appointments are booked in a timely manner.
- To assist the Directorate in ensuring RTT (referral to treatment) data reported to the Department of Health for the Trust is accurate.
- To provide an effective, elective care support service for the Trust across 4 sites, incorporating 18 week referral to treatment.
- To support the work of the Patient Pathway Manager, the broad objective is to improve the efficiency of patient care.
- To ensure that no patient is ‘lost to follow up’ and that all patients receive the follow up care they require in a timely manner.
- To liaise with Deputy/Operational Service Managers, Elective Access Managers, Elective Access Teams, Information Team, Patient Contact Centre, Outpatient Reception, Nursing staff, Ward Staff, medical secretaries and clinicians to ensure that elective access standards are being actively monitored and managed, and that elective access pathways run as smoothly as possible.
- To use Trust computer systems and Millennium to ensure patients are discharged on correct RTT status
- Use patient notes, existing databases, Cerner Millennium, and CRIS to formulate patient pathway data on individual patients
- To source, collect and validate accurate RTT data in accordance with agreed practices and standards
- Support Waiting List & Outpatient Booking teams within the Directorate to ensure that the information entered onto Millennium is of the highest quality and validity
- To input the collected data into Cerner Millennium or other Trust databases in a timely and accurate manner
- To liaise with clinicians, nursing staff and other staff as appropriate in order to achieve collection of accurate data
- To act as the fine fail safe for patients coming through the department to ensure their data and onward appointments are correct.
- To ensure that patients discharged on the electronic system have been done so correctly so as not to miss anyone to follow up
- To respond to service demands by supporting the validating of data.
- To participate in planned training events and to attend all mandatory training sessions as requested
- To attend relevant meetings and represent the RTT/validation team department as requested and ensure that all relevant information arising from such meetings is accurately communicated.
- To act as a mentor and provide on job training for new staff as required
- To support the monitoring of the 18 week RTT target
- To record accurately the reasons for patient breaches
- To collect additional data on an adhoc basis as required
- To plan and organise own work schedule with the use of appropriate planning aids, demonstrating good time management and ensuring anticipated difficulties in meeting deadlines are promptly reported.
- To ensure that secure systems are in place for the storage of all resources, including computerised information.
- To develop and maintain effective working relationships with other staff in the department and the Trust ensuring that a professional and seamless service is provided. In particular this will require liaison with other heads of Departments, Clinical Directors, Consultants, Managers and Administrative staff
- Participate in auditing the waiting list in line with the Elective Access Policy and RTT rules
- Ensure the OUH Trust policies are adhered to at all times
