A Fleet Hire Desk Assistant is required to assist the Fleet Hire Desk Supervisor and Fleet Business Manager in the day to day hiring operation, ensuring that the hire contracts managed by Fleet Services are provided to the requirements of the customer and contract compliance is maintained.

Key responsibilities:

- Coordinate and process on and off hire requests from authorised hirers, allocation to authorised suppliers and provide the service in accordance with council policies / procedures and contractual terms and conditions.
- Accurately and efficiently record vehicle, plant and equipment hire data on to the Fleet Management System, including in-fleeting and disposing of hired assets in accordance with policies/procedures.
- Raise purchase orders/works instructions and accurately record as required on the Fleet Management System in accordance with policies/procedures.
- Consult with customers to ensure vehicles / plant / equipment are provided to operational requirements and contractual compliance.
- Consult with suppliers to ensure vehicles / plant / equipment are provided to contract specification / compliance and meet the requirements of the customer.
- Carry out vehicle inspections in accordance with DCC Policy and Procedures.
- Provide supporting information to Fleet Hire Desk Supervisor and Fleet Business Manager in relation to any noncompliance supplier/customer issues. Record on Fleet Management System in accordance with policy/procedures.
- Inform the Fleet Management Team of any on/off hires/exchanges relating to vehicles required to be recorded on council Vehicle Operators Licence.
- Provide supporting information to Fleet Hire Desk Supervisor and Fleet Business Manager in relation to damage investigations, accidents / incidents, supplier damage claims and fuel shortages. Record on Fleet Management System in accordance with policy/procedures.
- Utilise the range of hire reports available, monitor the progress of orders on a daily/weekly basis, undertaking the required actions to facilitate effective service recharging and ensure contractual compliance is maintained.

**Qualifications**:

- NVQ Level 2 in Business Administration or experience of working within a Plant & Vehicle Hire or other customer service environment.
- Driving Licence (CAT B) desirable.

**Experience & Knowledge**:

- Experience of working within a customer facing environment.
- Experience of operating transactional based systems.
- Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
- Experience of operating a Fleet Management System desirable.
- Knowledge of Quality Systems and tender process desirable.

**Skills**:

- Good communication and interpersonal skills.
- Good organisational skills.
- Good numeracy, accuracy and literacy skills with a financial awareness.
- Financial awareness and negotiating skills desirable.
- Flexibility - may be required to work outside of normal office hours to meet the needs of the business.
- Capability to work to timescales.
- Ability to prioritise workload and tasks.
- Ability to work with minimum of supervision.
- Strong IT skills using Microsoft packages or equivalent (e.g. G Suite).

Full Driving licence, access to a vehicle or access to means of mobility support.
