**Job Purpose**:
The purpose of this role is to provide a high level of proactive administrative support (including dealing with correspondence, providing secretariat support to change governance meetings, maintaining registers and trackers, and other support as required)to the Portfolio and Change Management team and the Assurance and Standards team.

**Key Responsibilities**:
The post holder will need to work flexibly to provide management and maintenance of relevant portfolio control documentation. The post holder will need to support the portfolio to:

- Manage change governance meetings, ensuring that papers are circulated correctly and in time with locally agreed timeframes, producing summary minutes (especially decisions and actions trackers) and ensuring follow up actions are progressed and updatedwithin the timeframes specified by the meeting chair.
- Contributing to the design of portfolio trackers, dashboards, process diagrams and similar documentation. This includes effectively obtaining relevant data and providing some analysis.
- Ensure control documentation is maintained and updated regularly, such as key logs, trackers and documents.
- Support coordination of key activities for the team. This may include onboarding/induction activities for newly appointed staff.
- Enable the team with ad hoc administrative requests as required, to enable the successful delivery of the portfolio.

**Essential Skills and Experience**:

- Excellent written and verbal communication skills and attention to detail.
- Highly organised with the ability to organise own workload and work to changing deadlines.
- Proficiency in Microsoft Office products (Word, Excel, PowerPoint, Outlook).
- Experience of working in a process driven environment and in accordance with governance.
- Understanding of Portfolio, Programme and/or Project management.
- Knowledge of process mapping, PPM lifecycles and planning/scheduling.
- Knowledge of taking effective minutes in a change environment, including succinct and accurate records of actions and decisions.
- Experience of working in a policing and/or security environment.
