Job Summary: We are seeking a dedicated and efficient Administrator to join our team in Ashton-under-Lyne. This position primarily focuses on supporting a government-funded employability programme aimed at assisting both employed and unemployed individuals in enhancing their current skill set. As an Administrator, you will be responsible for performing general administrative tasks, including photocopying, answering telephone calls, relaying messages, and data entry. Additionally, you will handle various duties such as scanning and uploading documents, contacting customers for progress updates, refunding travel expenses, and ensuring the completion of outstanding paperwork.
**Responsibilities**:
- Provide administrative support to the government-funded employability programme.
- Perform general administrative tasks, including photocopying, filing, and data entry.
- Answer telephone calls, relay messages accurately, and maintain a professional and helpful manner.
- Scan and upload relevant documents into the system, ensuring accuracy and confidentiality.
- Contact customers to provide progress updates and gather necessary information.
- Process travel expense claims promptly and accurately, issuing refunds when required.
- Chase outstanding paperwork from program participants and ensure its timely submission.
- Maintain accurate records and databases, ensuring information is up-to-date and easily accessible.
- Assist in the coordination and scheduling of meetings, workshops, and training sessions.
- Liaise with other team members, stakeholders, and external agencies to facilitate smooth program operations.
- Follow established procedures and guidelines to ensure compliance with program regulations.
- Adhere to confidentiality and data protection policies at all times.
- Contribute to the continuous improvement of administrative processes and procedures.
**Requirements**:
- GCSE English Language at a minimum of a Grade B (or equivalent Level 2 qualification). OR achievement of a Level 2 in Literacy Assessment at interview stage.
- Proven experience as an Administrator or similar role, preferably in a government-funded program.
- Excellent organisational and time management skills with the ability to multitask effectively.
- Strong attention to detail and accuracy in handling administrative tasks.
- Excellent verbal and written communication skills.
- Ability to handle sensitive and confidential information with integrity.
- Strong interpersonal skills and the ability to work collaboratively within a team.
- Proactive and self-motivated with a willingness to take initiative and solve problems.
- Familiarity with employability programs and initiatives is desirable.
