**Job Summary**

**Key Responsibilities**

Front Desk Management:

- Greet and assist visitors, clients, and employees in a friendly and professional manner.
- Answer and direct phone calls, take messages, and provide information as needed.

Administrative Support:

- Perform general administrative tasks, including data entry, filing, and document management.
- Assist in processing invoices and managing payment transactions.
- Assist in organizing and coordinating office events, meetings, and appointments.
- Support the scheduling team in managing staff rotas and bus allocations.
- Ensure efficient use of resources and adherence to schedules.
- Maintain and update the parts catalogue for easy reference and inventory management.
- Coordinate with the procurement team for timely part orders.
- Collaborate with the sales and operations teams to provide assistance in preparing coach hire quotations.

Customer Service:

- Handle customer inquiries and provide information about our bus services.
- Address customer concerns and management complaints.

Communication:

- Maintain clear and effective communication with internal teams, drivers, and management.
- Handle incoming and outgoing mail and packages.

Organisation:

- Keep the reception area and common areas tidy and presentable.
- Assist in maintaining office supplies and placing orders as needed.

Clean Office Weekly:

- Take responsibility for the weekly cleaning of the office space.
- Maintain a tidy and organized working environment.

Qualifications:

- Proven experience as a receptionist or in an administrative role.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Customer-focused with a positive attitude.
- Ability to handle stressful situations with calmness and professionalism.

Education and Experience:

- High school or equivalent.
- Previous experience in a similar role is an advantage.
