**Main tasks**:

- To organize specific annual/one off events or promotions in which the Town Council may wish to engage - for example (but not limited to) Wedding Fares, Bude Literary Festival, Heritage Events, Summer Family Events and the annual Christmas Fare. This includes preparing the venues with the relevant signage, decorations and additional equipment and the removal after the event.
- To collaborate with the Heritage Development Officer in the organisation and implementation of events undertheir remit such as (but not limited to) the annual Heritage Day/Weekend and Commemoration of the Battle of Stratton
- To organize a programme of music for the Bandstand
- To organize a programme of small events/activities/workshops for The Castle lawn or inside The Castle
- To assist the Marketing & Promotions Officer with the marketing and promotion of organized events/activities
- To support the Castle & Library Manager with development and management of a programme oftemporary exhibitions in the gallery spaces liaising with exhibitors
- To liaise with all other relevant departments to ensure that bookings for events, galleries andweddings/civil ceremonies do not coincide with other events and bookings.
- To liaise with the Communications Officer with news items for the Council’s periodic newsletter
- Ensuring high standards of quality, customer service and health and safety are continuously met. Ensure the Risks Assessments are put in place for events. This includes the submission of event paperwork to relevant H&S departments at Cornwall Council (i.e., Event Notification or Temporary Event Notice)
- To work closely with local community groups/businesses/individuals in filling any commitments at all planning stages of the events booked, including interviews with radio/TV promotion.
- To work closely with those booking The Castle to use for their own events, creating and maintaining a clear booking system with relevant checks on procedures, insurances and risk assessments. This will also involve being present at large events to ensure that all checks have been met.
- To work closely with the Event Programmer for Bude’s Literary Festival, and any working groups/individuals/businesses that are working alongside the event. This will include leading the small group to ensure budgets are met, information is correct when putting the programme together. Details are provided to the MPO so that website and social media posts are kept current. Organising the logistics of all the events as a collective during the festival programme and be in charge of the ticketing platform and ticket selling throughout the event.
- Communicating with all teams at The Castle to ensure that information about all events is passed onto the various departments involved in the day to day running of the building and produce a weekly planner to show all events across the Castle Team.
- Working with all the BSTC teams involved to ensure all needs are met for events and bookings outside of catering.
- Management of appropriate budgets and forecasts in conjunction with the RF, including the tracking of invoices to relevant parties, both incoming and outgoing.
- When requested, preparation of reports for various committees of the Town Council and attendance at Council meetings as and when required, as requested by the Town Clerk, or relevant Manager.
- To ensure that the building is secured, including the windows, and alarms are set and working before leavingthe premises when appropriate. Also, to ensure that any events using Castle equipment have a plan in place to return equipment and borrowed keys that allows events to take place directly after theirs have finished.
- To manage, and liaise with The Café Manager with any catering requirements, for event bookings using the rooms for conferences and parties, which include the setting up of projectors and screens, room arrangements and other equipment needed for room hire events.
- To undertake other duties of a reasonable nature commensurate with the post
- To undertake training as and when required or requested.

- To work as part of a multi-disciplinary team, but also have the ability to take responsibility and work on own initiative.
