**Job Title: Shopfitting Administration Assistant**

**Department: Shopfitting**

**Location: Silverton Mews - office-based role**

**Reports to: Shopfitting Account Manager**

**Role: Full-time, Permanent**

This position will require an efficient, and friendly team player whose duties will include administrative and health and safety support, ensuring all tasks are completed accurately and on time. They will support our shopfitting department, contract managers, and health and safety personnel.

**Duties and Responsibilities**:

- Coordinate general office procedures.
- Assist with the production of any project documentation, briefing documents, obtaining permits to proceed, landlord’s approvals and security passes, completion reports, submission of paperwork, photo documents, filing, copying, binding, scanning etc.
- Assist with ensuring that all projects are kept up to date with the current information -drawings, scope of works, proformas, business documentation, and health and safety file information.
- Oversee all project health and safety, ensuring projects are kept up to date with the current information.
- Conduct regular site audits.
- Download relevant information as requested on a project-by-project basis for upcoming schemes.
- Book travel/hotel accommodation and deal with post.
- Assist in the invoicing of pre-approval works, post-approval works, and fully completed projects - complete invoicing paperwork for submission.
- Assist in the production of fee proposals and issue to relevant personnel.
- Assist team members with the management and production of purchase orders.
- Oversee effective time management of tasks, ensure where client deadlines are present these are adhered to, or if not realistic, highlighted to relevant personnel and expectations managed.
- Liaise with sub-contractors to ensure timely completion of projects.
- Assist in workflow planning - track current and upcoming workload to provide a transparent view of when tasks need actioning within a given timeframe. Highlight peaks and troughs in workload and indicate where additional resources may be required, or gaps need filling.

**Key Skills**
- Proven administration experience in a similar role.
- Skilled in Microsoft Office 365 - Sharepoint, Excel, Word, PowerPoint, and Outlook.
- Excellent organisational and planning skills - the ability to multi-task and effectively prioritise tasks on a daily, weekly, and monthly basis.
- Attention to detail and problem-solving skills - capability to deliver all work to a high standard and deal with any matters in a timely and proficient manner.
- Effective time management and ability to meet deadlines.
- Confidentially handle sensitive information.
- Good interpersonal skills - a positive attitude, approachable, and a team player, as well as the ability to work solo at times.
- Excellent communication skills - the capability to communicate professionally and effectively - internally, at all levels, and externally with all clients, sub-contractors, statutory authorities, etc.
- Timely, reliable, open, and honest.
- Work well under pressure and be flexible in your approach to work.
- Health and safety experience (desirable or the willingness to learn and progress).
- NEBOSH (desirable or the willingness to undertake training).
