- ____________________**Crew Travel & HOTAC Co-ordinator - 15 Month FTC**
**Purpose of the Role**

Booking and managing all travel and accommodation for crew and staff in support of civilian and military charter aircraft operations. Liaising and working closely with the Crew Scheduling team.

**Responsibilities**:

- Support the development and effective implementation of business processes across the crew scheduling department.
- Enhance departmental performance through the monitoring, measurement and improvement of processes
- Awareness of regulations related to the requirements of moving people i.e. immigration and health.
- Co-ordinate with Leasing customers on travel and accommodation booking policy, procedure and activity.
- As required assist Leasing Team with departmental travel and accommodation requirements. Procure and co-ordinate all travel and accommodation for civilian and military charter activity in conjunction with crew scheduling, operations and engineering. Manage and record all changes.
- Liaise with internal Supply Chain Management for current contract arrangements.
- Co-ordinate with commercial and finance regarding costs, budgets, invoicing and payments.
- Manage and liaise with finance and Leasing regarding customer recharges of appropriate costs to Leasing customers in line with contractual terms.
- Be responsible for bringing to the attention of line management, any nonconformities and/or opportunities for improvement that are identified.
- Working alone as required with a positive and proactive approach. But equally liaising and engaging with a number of related teams and key stakeholders in a collaborative manner.
- Ensuring the operations log is accurately maintained recording all significant events or programme changes.
- Updating AIMS with flight details, transport and Hotac.
- Sourcing most cost effective flights.
- Selecting appropriate hotels in new locations.
- Training new starters on Hotac and Travel.
- Disputing any irregular charges found during invoice checks with Hotac and Travel suppliers.
- Record keeping & collating of invoices of credit cards for reconciliation.
- Liaise with FHQ with regards to seat bidding.
- Liaise with RAFLOs & handling agents to source suitable accommodation for Military flights.
- Prepare all crew lists and send to RAFLOs/handling agents.
- Manage crew travel preference requests after roster publication.
- Be personally responsible for delivering a safe service in all facets of the role with the requirements of the ATrS SMS, Quality and Environmental Management Systems. This includes maintaining awareness of the company safety and quality policies and the applicable hazard analysis.

- Experience of contracting and negotiating with hotels and travel suppliers and managing supplier relationships.
- Sound understanding of crew accommodation and travel requirements in line with company procedures and best industry practice.
- Demonstrable ability to produce accurate statistical and financial reports.
