**The Post**
The Student Systems and Data Coordinator (Statutory Returns) post is part of the Academic Registry team and sits within the Student Systems and Data area of the team which is responsible for ongoing maintenance and continued enhancement of the University’s student and curriculum systems and the management of module evaluation and statutory data sharing and reporting, including student returns to HESA.

The team supports the Academic Registrar and works in conjunction with the rest of the Academic Registry team in the successful delivery of Academic Registry objectives. The team also works collaboratively with the University’s Faculties, Divisions, and Professional Services to achieve institutional objectives.

The post takes a leading role under the direction of the Student Systems Manager/Head of Student Systems and Data in managing the collection and submission of the data for the University’s statutory returns to HESA, and has responsibility for the provision of high quality data reporting to a range of internal and external stakeholders, ensuring that all requests are handled and responded to and in line with the University’s information governance policies and procedures and agreed Academic Registry service delivery requirements.
**Description of Duties**
- Prepare and submit the University’s statutory student data reporting for HESA and other statutory purposes as required, such as for SFC, SLC, SAAS, the Law Society of Scotland
- Coordinate internal and external data and reporting arrangements in respect of data held within the University’s student systems infrastructure
- Contribute to the management of data required for production of internal management information made available via the University’s reporting tools, ensuring that appropriate systems developments are requested and progressed to meet changing requirements, and working collaboratively with colleagues as appropriate
- Proactively review and regulate the quality and integrity of data, recommending action as appropriate to ensure continuity of service
- Develop and maintain a suite of data checks/warnings to ensure data is collected and maintained by the appropriate teams in line with statutory and internal requirements and remains in a state of readiness for export/use. Ensure data quality exception reporting is available to stakeholders though out the academic year
- Implement HESA data schema development requirements and coordinate technical requirements for system developments
- Identify and interpret HESA requirements and ensure implementation and communication to stakeholders/data owners
- Manage an internal HESA submission stakeholder/data owners group, keeping stakeholders up to date with changes to data requirements and scheduling arrangements
- Prepare reports and information for relevant internal oversight and governance purposes and forums as required
- Prepare and maintain HESA process documentation
- Monitor the effectiveness of internal processes in informing HESA data and provide support to stakeholders as required, making recommendations where appropriate for changes to the management of student data to ensure data accuracy and compliance with statutory requirements
- Interpret system technical guidance and manage the system infrastructure, parameters and data quality rules that support the submission of statutory data returns. Undertake regular system configuration to support revised requirements and improvements and create system automation
- Prepare the NSS population file and work with the planning team who coordinate the submission
- Represent the University at relevant external groups and meetings, and proactively stay up to date on developments and changes
- Devise, develop, implement and review procedures to enhance and streamline the transfer and reporting of student data within information governance frameworks ensuring data integrity and accuracy is maintained at source by the appropriate teams
- Contribute to data retention procedures and ensure compliance with GDPR, archiving and retention
- Manage the preparation of data imports and exports to support the student data held in the student record system
- Work in collaboration with the production development team in Information Services by providing criteria for operational reporting available via the University reporting tools in the development of reporting functionality from the student systems infrastructure
- Design and update user guides and training materials to ensure users have quick access to reference materials when using student systems have the necessary skills and understanding to access them effectively
