**General description**

This role is to plan, coordinate and run weddings, celebrations and events at the Walled Garden Baumber as part of a small team. This is an exciting role which can also be physically and mentally challenging. It sometimes involves long hours involved and there is lots of weekend work. You must be adaptable and versatile and able to work as part of a team and maintain a calm manner in all eventualities.

Each wedding, celebration, or event will have a dedicated coordinator, starting with two coordinators and a manager in 2023, the team will expand as we become busier on the completion of the new wedding venue and take bookings for weddings all year round. We also hope to expand with more celebrations and events taking place throughout the winter season too.

You will be responsible for organising weddings and events from the initial planning stages to completion, offering an exceptional level of service.

ESSENTIAL SKILLS.

Planning stages: Mainly office-based work

Excellent communication skills

Strong information technology skills. The knowledge and ability to use social media platforms including Facebook Twitter WhatsApp and Instagram. You must be familiar with using these platforms to advertise send and receive messages promoting the business in a positive light and increasing audience numbers.

Excellent communication skills, You must have the ability to communicate with customers, suppliers and colleagues in a pleasant professional manner at all times.

Exceptional organisational skills. So that if work is left and are not in the office, colleagues can pick up the folders and assist with enquiries or run an event or occasion in your absence.

You must be able to manage your workload, recognise and ask for support when needed.

The ability to work on several projects at once as part of a small team in a busy working environment.

Coordinators must develop/have excellent budgeting Skills and the ability to produce accurate income and expenditure estimates. They must have the ability to ensure that income is maximised for the company but at the same time the customer should feel they are receiving good value for their money.

All income or expenditure must be discussed with the account team. coordinators are not permitted to incur any expenditure unless authorised by the accounts team.

**Implementing stages: Venue Based work.**

To meet customers and wedding couples show them the garden and the venue, offering help and information on the services we offer. Commission will be earnt on all wedding bookings.

Once you have secured a wedding booking you will be the first point of call for that couple from booking until the evening of their wedding day. The whole event will be yours to organise and implement. You will be relieved in the evening by another coordinator or duty manager who finished the event for you in order to keep your working shift to a sensible amount of hours

You will be asked to be the duty manager and work the evening shift if the wedding or event has been organised by one of the other coordinators.

You are responsible for setting up the venue so that it is clean and well presented for the wedding or event that will take place.

To set out the furniture.

The ability and creativity to assist with decor table centres soft furnishings and floral imagery would be an advantage.

Willingness to serve behind the bar, serve food, wash glasses or do whatever is needed to help in areas during the busy periods to assist the front of house team.

To supervise and give instruction to younger members of the team, in a kind supportive manner, as they assist you. To ensure the front of house team have appropriate rest breaks as per legal requirements.

To work alongside the catering manager and kitchen staff, maintaining an excellent relationship, So that each team works closely together supporting each other.

To meet and liaise with supplies and customers in a professional manner.

To greet and organise event participants such as stall holders, musicians, artists and performers.

To ensure health and safety regulations are met and followed at all times, according to the policies set out by the company.

To ensure that younger members of the team are aware of the H and S regulations within the building, in the event of a fire or any other emergency.

To perform a risk assessment prior to each wedding or event will take place in the venue.

To check and organise the cleaning of any areas that require attention during the event, and immediately afterwards if that is an event in that area the next day.

To ensure the venue is left in good order, secure and with all equipment switched off at the end of a wedding event and cleaning is booked the following working day.
