**Overview of the Role**:
As a Legal Secretary, you will play a crucial role in supporting a busy department in delivering high-quality legal services efficiently and effectively. Working closely with solicitors and other legal professionals, you will provide comprehensive administrative and secretarial assistance to ensure the smooth operation of the department. Your responsibilities will include:

- **Client Communication**: Acting as the first point of contact for clients, handling inquiries, scheduling appointments, and maintaining regular communication to provide updates on case progress.
- **Document Preparation**: Drafting, formatting, and proofreading legal documents and correspondence, including wills, powers of attorney, trust deeds, and estate administration forms, with a high level of accuracy and attention to detail.
- **File Management**: Organizing and maintaining client files, both in paper and electronic formats, ensuring all documents are filed correctly and securely in accordance with firm protocols.
- **Diary Management**: Managing solicitors' calendars, scheduling meetings, appointments, and court hearings, and coordinating travel arrangements as required.
- **Administrative Support**: Assisting with billing and invoicing tasks, preparing expense reports, processing incoming and outgoing mail, and handling general administrative duties to support the smooth operation of the department.
- **Legal Research**: Conducting legal research using online databases and resources to gather information, precedents, and case law relevant to client matters.
- **Team Collaboration**: Collaborating effectively with solicitors, paralegals, and other support staff within the firm to ensure seamless workflow and efficient service delivery.
- **Confidentiality**: Maintaining strict confidentiality and discretion regarding client information and sensitive matters in accordance with legal and ethical standards.

**Qualifications**:

- Previous experience working as a legal secretary or administrative assistant within a private client or probate department of a law firm is highly desirable.
- Excellent communication skills, both verbal and written, with a professional and courteous manner when dealing with clients and colleagues.
- Strong organizational skills and the ability to prioritize tasks effectively to meet deadlines in a fast-paced environment.
- Attention to detail and accuracy in document preparation and data entry.
- A proactive and adaptable approach, with the ability to work independently as well as part of a team.

**Education**:

- A-levels or equivalent qualifications are required.
- Additional qualifications in legal secretarial studies or administration are advantageous.
