**Conference Administrator**

The Conference Administrator will be the first point of contact for our conference delegates providing information, advice and support in respect of their attendance at both in-person and online events. You will also provide a supporting role to the Conference Manager in all aspects of conference management.

Our clients include the public, private and not-for-profit sectors, and our events range from one-day events to residential international congresses. Typically our events are annual association events and congresses with timelines from inception to delivery of 12-18 months. As such, the activities listed below are usually performed in phases with some cross-over, rather than all simultaneously.

**Typical activities and responsibilities include**:

- Populating conference event platforms
- Preparing and distributing standard correspondence and marketing campaigns with the support of a Conference Manager
- Managing delegate registrations and queries
- Preparation of event materials such as name badges and conference handouts
- Providing general event support to the Conference Manager - based on your unique area of expertise, education or talent
- Attending the conferences onsite throughout the UK and occasionally abroad; including overnight stays

**Preferred skills include**:

- Maintain a professional attitude when dealing with colleagues, clients, delegates, suppliers and members of the public
- Ability to prioritise and take instruction from the Conference Manager and communicate regularly to keep colleagues informed
- Experience of office procedures including drafting business correspondence with an excellent command of written and spoken English
- Competent with Office programs including Word, Excel and Outlook
- Familiarity with Excel formatting and formulas
- Knowledge of event management software
- Attention to detail

**Line management**

The Conference Administrator will report to the Conference Manager and Operations Manager who will be responsible for ensuring the allocation of work.

**Location and hours of work**

This is primarily an office-based role located at our offices in Teddington. The hours of work are 09.00-17.30 from Monday to Friday. Hybrid working will be implemented after a qualifying period. Hours of work are flexible between 08:30-17:00 and 09:30-18:00.
