Job overview Working within the Paediatric Safeguarding Team the post holder will support the delivery of referrals made to the EMCYPSAS and the Safeguarding services at NUH. The post holder will work closely with the clinicians, specialist nurses, administrative teams within the Children’s Hospital and external agencies to allow the smooth and efficient performance and make a direct positive contribution to the work of the team.

Due to the nature of the role, the post holder will be dealing with sensitive information and therefore confidentiality needs to be upheld at all times. Excellent communication, telephone skills, audio typing and IT are essential. There is a strong need to exercise initiative to organise their own workload within the constraints of defined deadlines. They need to possess effective influencing skills, including tact, diplomacy and the ability to work within a team. The post holder must be self-reliant and self-assured even under pressure.

Detailed job description and main responsibilities

KEY JOB RESPONSIBILITIES

Word process clinical letters/summaries, clinical paperwork and all documents as required, from either audio-typing or copy typing. These will include reports and court statements for social care and the police and will be of a highly sensitive and confidential nature

Create correspondence as appropriate.

Assist with the management and updating of diaries and arrange appointments and meetings as required, including locating venues and informing invitees.

Assist with arranging and co-ordinating multi-disciplinary team and departmental meetings.

Maintain administrative systems/databases for data collection for audit purposes where appropriate.

Ensure timely return of notes for coding in accordance with Trust standards

Track and retrieve patient notes as required

Assist with the production of documents and Standard Operating Processes where appropriate

Liaise with clinicians, administrative staff, other community teams, Police and stakeholders, i.e. G.P’s, as appropriate.

Regular telephone communication and message taking.

Working to strict deadlines/targets and ensuring the system runs smoothly

Use judgement and initiative to prioritise the importance/urgency of particular requests within specialty defined guidelines.

To undertake other specialty specific duties in accordance with Trust policies and procedures to facilitate the patient pathway

Dealing with incoming medical staff correspondence and facilitating prompt action

Support new staff

Share responsibility with line manager for own personal development

Person specification

Training & Qualifications

Essential criteria
- RSA II word-processing/text processing or equivalent
- NVQ level 2 in administration or equivalent
- GCSE English Language, Grade C or above or equivalent

Experience

Essential criteria
- Recent audio typing and admin experience
- Experience in using Microsoft Word, Excel and Outlook

Desirable criteria
- Previous experience of working in the NHS
