Receptionist / Administrative Assistant

**Job Summary**:
- To act as Receptionist and Administrative Assistant in the office
- To assist the PA to Directors and Accounts Department by providing support for a range of office functions
- To carry out duties commensurate with the post, as a member of the office support staff and whole team
**Principal Accountabilities**:
- Providing receptionist support to the office - being the first contact / front line in receiving visitors and staff
- Providing support to the office’s administrative function
- Providing administrative support to the Accounts Department
**Job Content**:
Main duties and responsibilities are indicated here. Other duties of an appropriate level and nature will also be required:
**1. Providing receptionist service to the office, including**:
- Welcoming, receiving, signing in and directing visitors and staff
- Maintain office security by following safety procedures and controlling access via the reception desk
- Operating the main telephone, transferring calls, or taking and delivering messages as appropriate
- Organising access key-fobs / parking passes for new starters
- Updating the administration / meeting room calendars, adding / removing content as appropriate
- Keeping Reception area clean and tidy with all necessary supplies
- Managing signing in book (ensure all visitors and staff are signing in and out the building each day)
- Distributing milk / fruit / lunch etc. on designated day
**2. Providing admin support to the office, including**:
- Receiving and sorting incoming mail / deliveries for distribution to appropriate staff
- Recording, stamping, and posting outgoing mail
- General clerical and administrative tasks such as photocopying, printing, binding, laminating etc.
- Routine word processing, as and when required
- Updating and distributing internal spreadsheets monthly
- Assisting in the maintenance of the office’s filing and archiving systems
- Maintaining office services as required (such as cleaners and maintenance companies). Booking service visits, reviewing service reports, and updating appropriate spreadsheets
- Reporting premises/equipment faults, damages, incidents etc. to the PA to Directors
- Maintain inventory of office and kitchen supplies by checking stock to determine inventory levels, anticipating needed supplies, placing, and expediting orders
- Review site office stationery orders, approve, and update online portal
- Receiving and checking stock orders by matching Delivery Notes with Purchase Orders and informing the FAO of any discrepancies including chasing up missing items, returning damaged items etc.
- Assisting the PA to Directors with organisation of events as directed
- Carrying out and keeping record of weekly fire alarm tests (Friday - 11:00) and 6 monthly fire evacuation
- Updating staff vehicle registrations, monitoring staff carpark
- Printing weekly / monthly reports
- Maintaining your Emergency First Aid at Work and Fire Marshall Qualifications
**3. Providing admin support to the Accounts Department, including**:
- Perform data entry and filing tasks as directed
- To be flexible to work additional hours to cover holiday and sickness within the team
- General clerical and administrative tasks such as photocopying, printing, binding laminating etc.
**Line Manager/s**:PA to Directors / Finance Director
**Reports to**: PA to Directors
- Monday - Friday - 40 Hours Per Week
- 08:30 - 17:30 (1-Hr Lunch Break)
**Job Types**: Full-time, Permanent
**Salary**: £23,000.00 per year
