Job Description - Wedding and Events Co-ordinator

Job Title: Part Time Events Administrator and Co-ordinator

Department: Front of House

Reports to: General Manager/Deputy Manager

Summary of Position

Responsible for managing all incoming business in relation to wedding receptions/events/meetings and to make certain that service excellence is delivered at times.

Key emphasis of this role includes revenue generation specifically in terms of conference, wedding and events and to surpass agreed budget and exceed targets.

To maximise all booking and ensure follow through from sales and event handover, plus follow up.

To plan, organise, direct and control the conference and events administration.

Hours of Work: Flexible over 25 hours

Primary Responsibilities

Day to Day
- To manage operation in line with agreed budgetary revenues, incomes, and expense nominals.
- To present Diglis House Hotel to prospective clients
- To communicate to Hotel Team all wedding receptions/events/meetings - highlighting any specific requirements.
- To implement and adhere to agreed Company and Hotel service excellence standards and procedures.
- To liaise with kitchen, food & beverage departments on daily operations and to ensure quality control.
- To finalise contracts as required for all events, conferences, wedding receptions, banquets & room bookings.
- To manage the issue of weekly function sheets, specifically checking all details.
- To closely monitor and agree preferred suppliers for any external requirements. I.e., chair covers, bows etc.
- To raise and issue accurate billing, checking with client on and prior to departure satisfaction.
- To liaise with food and beverage and restaurant ensuring set up and execution of functions as per stated function sheet.
- To deliver service excellence

Wedding receptions/events/meetings
- To ensure all bookings for wedding receptions/events/meetings are processed efficiently
- To ensure accurate capture of all data for prospective customers and customer alike
- To deliver each experience that surpasses the expectation of the client

Finance
- To manage all current and future folios and ensure billing in processed accurately and promptly

Reports
- To ensure timely and correct functions sheets are issued

Hotel Activity
- To attend all planned training activities
- To actively promote service excellence
- Be a role model for all employees by demonstrating behaviours and work ethic expected of all Diglis House Hotel employees
- To support the Hotel management of day-to-day activities, especially in accordance with Fire, Health and Safety regulation and employment legislation.

Additional Responsibilities
- To implement and support all Diglis House Hotel initiatives and programmes as requested
- To be present at some major events held at Diglis House Hotel as and when required
- Any other management requests.

**Job Types**: Part-time, Permanent

**Salary**: From £11.50 per hour
