A great opportunity to join the Private Patient Admin Team as a Medical PA, working directly with consultants delivering their private patient business, including usual secretarial duties, from typing letters, booking appointments, booking theatres to issuing invoices and chasing payments. The small private patient admin team are based on Parkside the private patient ward and duties will occasionally include covering the ward reception desk. No day will be the same with lots of variety in a friendly and supportive environment.
To be responsible for providing a private PA and Finance service to Consultants of different specialities, ensuring that high standards are maintained in terms of quality and output and that an excellent patient experience is provided at all times. To use own initiative and work without immediate supervision. Liaising with both Parkside Private Unit, Trust departments, Staplegrove Anaesthetic Group and the Taunton Nuffield Hospital.

**Responsibilities**:
Communication and Key Working Relationships
- Be a main point of contact for the Consultants, having full knowledge of specialty processes, or know where to resource help or to find answers.
- Liaising and negotiating on a daily basis with both Taunton Nuffield, Staplegrove Anaesthetics and this Trust ensuring the private patient pathway is followed.
- Organise cover for periods of absence and assist in the emergency cover of specific work (i.e. urgent letters/reports) if required to ensure turnaround times and standards are maintained, referring to Secretarial Manager as appropriate
- Liaising with insurance companies, obtaining authorisation numbers, writing medical reports, producing and submitting invoices ensuring correct tariffs are used.
- Liaising with Healthcode to ensure accurate electronic invoicing to Insurance Companies, record payments, and chase excesses.
- Ensure regulatory processes are followed in relation to Private Healthcare Information Network (PHIN) so that the Consultants compile with legislation with regard to patient billing information.
- Report any incidents by way of Trust Incident Reporting system
Planning and Organisation
- Be responsible for working with the Secretarial manager in devising and implementing action plans to ensure the team meet Trust targets and standards. Anticipate and report unavoidable potential breaches to Secretarial Manager. Undertake transcription of urgent jobs as appropriate to avoid backlog /breaches
- Organise any of the following through relevant resources: Consultant-led private out
- patient clinics (including specialist nurse clinics etc.). Be responsible for setting up out
- patient clinics by confirming dates with staff concerned; booking rooms, generating, cancelling, changing and sending appointment requests. Reorganising clinics in the event of cancellation by medical staff ensuring.
- Monitor patient access, e.g. to ensure utilisation of private clinics, remove referrals as necessary.
- Maintain and monitor out-patient referral letters.
- Submit PHIN data monthly on Consultants’ stats.
- Maintain accurate finance records and implement a debt management system, liaising with patients, insurance companies and Debt Collection Agencies.
- Organise departmental Business/Audit meetings, take Minutes where necessary
- Organise Consultant diaries, arrange appointments, theatre slots and co-ordinate meetings in both this Trust and the Taunton Nuffield Hospital.
- Arrange, record and inform all relevant Departments of annual, study, professional leave ensuring cover arrangements are in place or sessions are cancelled.
- Organise clinical induction days or community weeks. Maintain teaching attendance records.
- Understand OPCS codes to enable identification of procedures to ensure accurate patient invoicing in line with self-pay and insurer’s tariffs.
