- 022024-69Birmingham City University is a large and diverse place to study right in the heart of the city. The Directorate of Student and Academic Services is currently recruiting for the role of Faculty Operations Coordinator, to join our newly established Faculty Student Centres.

The Faculty Operations Coordinator is critical to the smooth running of the faculty and manages significant areas of administrative support to operational activity (e.g., workload planning, financial monitoring, academic staff recruitment, committee management). The post holder will work without direct supervision and exercise a high level of discretion. The post holder will be required to manage day-to-day processes and provide a customer service support for staff within the faculty, administering processes relating, but not exclusive to, HR, Finance, Facilities, contractual agreements, seminar, and events planning. They will provide advice and support on university processes and systems to enable the efficient and effective running of daily administrative activity.

**As an Faculty Operations Coordinator, you will be required to**:

- Provide leadership, supervision, and direction to the Faculty Operations team with a broad portfolio to support the key objectives of the University, ensuring high performance.
- Establish and manage policies and procedures for the annual cycle of business for the faculty. This includes drafting cycles of business, standard operation procedures, checklists, setting dates for committees/meetings/events in line with the University schedule of meetings.
- Carry out month-end, quarter-end, and year-end procedures, such as reviewing open purchase orders, identifying incorrectly coded transactions and processing correcting journal entries, and accruals/prepayments.
- Ensure effective deployment of people and other resources to successfully meet key objectives and deliver agreed service standards.
- Communicate complex information to a wide variety of audiences to influence, achieve change where necessary and deliver results.
- Provide advice on strategic and complex operational issues affecting the student lifecycle.

**The successful applicant will demonstrate**:

- Educated to a degree level or have substantial experience in an education environment or a complex organisation.
- experienced in leadership and people management skills in a culturally diverse environment to prioritise workloads and to lead the team to deliver on challenging objectives and meet competing deadlines.
- Excellent analytical skills, with capacity to conceptualise, develop, implement, and review administrative processes to deliver business improvement solutions.
- Proven ability to manage time and resources effectively and responsibly, with good organisation and planning skills, including managing competing deadlines.
- Proven ability to manage a budget effectively in accordance with policies and procedures, including experience using financial packages such as Oracle or similar.
- Demonstrated high level IT skills with experience using Microsoft Office and the ability to manipulate computer systems and databases. Advanced skills in Excel.
