Our client is looking for an Office Co-ordinator / PA (Full Time or Part Time) for a permanent position, located in Aberdeen.

**Responsibilities**
- General facilities management and building maintenance - ensure the office is maintained to a high standard and meets all statutory requirements, liaise with landlord and handyman to make any repairs. Liaise with Horizons House Facilities on all office ‘snagging’ not sure the correct word.
- Take responsibility for IT set up for new starters in conjunction with Marin IT, including provision of hardware and set up.
- Responsible for general office equipment supply and maintenance - ensure office facilities meet the requirements for staff and visitors, liaise with management to establish requirements, liaise with suppliers of equipment services
- Responsible for stationery and office supplies ordering and stock control
- Ensure office is tidy and well presented at all times, providing an attractive and welcoming working environment for staff and clients/visitors, ensure supply of tea/coffee etc.
- Manage seating plan and local office moves
- Maintain meeting room equipment and hygiene standards
- Provide support to personnel when booking meeting rooms and in conjunction with Marin IT ensure equipment is in good order and any problems communicated to Marin IT
- Co-ordinate catering for meetings when required
- Order/allocate office passes for staff and visitors
- Communicate key messages to employees within the business.
- Responsible for allocation of parking spaces in car park where appropriate
- Attend Horizons House Safety Meetings

Administration:

- Responsible for courier arrangements in conjunction with Logistics Co-ordinator based at warehouse
- Order buffet lunches when required

**Requirements**:

- Good communication skills
- Confidentiality
- Proficient with all Microsoft programmes
- Ability to work on own initiative
- Ability to instigate changes for continuous improvement
- Attention to detail
