We are looking for an outstanding individual to join our friendly reservations team as a **Hotel & Conference Coordinator.**

Ideally, you will have previous experience working within the hospitality industry or as a booking agent and be confident and happy to work both independently and as part of a team. You will be passionate about delivering exceptional customer service and a good team player. You will thrive in a fast paced environment.

You will be responsible for sourcing hotels and venues to match the clients budget and then presenting the options for their consideration. You will be responsible for handling all aspects of the booking process. You will have an excellent eye for detail and good communication skills.

This is a full time position working Monday to Friday and normal hours of work will be from 09:00 to 17:30 each day. This is a hybrid position with the option to work from home occasionally, on completion of an initial probation period. We offer 23 days paid holiday in addition to public holidays. After completion of the initial training and probation period this is a hybrid working position with the opportunity to work from home up to 2 days per week.

**Responsibilities and Duties**

Main Duties/tasks
- Confirm, amend and cancel bedroom and conference hotel reservations

Maintain accurate up to date records of customer and hotel details
- Enter new customer details on the customer database
- Update customer details on the customer database
- Enter new hotel and conference venue details on the inhouse database
- Update hotel and conference venue details on the inhouse database

Organise bedroom reservations that meet customers’ requirements
- Find and book a hotel based on the customers’ requirements i.e. location, budget, en-suite room, leisure facilities etc

Organise conferences and any other meeting room related requests
- Find suitable venue options to present to the customer ensuring all the customers’ requirements have been taken into account
- Keep a record of all quotations given by venues
- Provisionally hold venues, providing the venue with a reference number that they may quote upon calling you back to help you find the information more efficiently
- Confirm all the details with the customer and venue
- Send contract to customer and request it to be checked, signed and returned back to the venue within deadlines

Provide support to the accounts team
- Answer the telephone, pass on messages and provide routine information
- Maintain a good working relationship with all customers, particularly when answering telephone enquiries.
- When urgent work or backlogs occur you may be required to help other team members to meet deadlines
