**Salary**: £40,000-£45,000

**Location**: Bristol

**The role**:

- Manage the Company’s project information management system (Deltek PIM), controlling all project sales and purchasing, client and project records, suppliers, staff HR records, timesheets and absence.
- Development and enhancement of existing internal admin systems
- Coordination and support of Office Managers and administration staff
- Visiting and working in other offices as the role requires
- Liaison with the Company’s Finance Manager to assist in the financial management of the business - Responsibility for aspects of overhead budgeting and spend
- Coordination of Credit control / debt chasing
- Day to day point of contact for IT support company and management of contract
- Management of all IT hardware/assets inventory in conjunction with the Company’s IT support company
- Ordering of new IT hardware and arranging any finance
- Manage all business software licenses and software procurement
- Responsible for maintaining company SharePoint network, project files, and archive systems with IT support company
- Management of mobile phone contract, ordering, and liaison with comms company
- Management of business landline systems
- Responsible for IT and comms setting up of new starters and leavers
- Management of services and contracts with key suppliers and sourcing of new ones when required - Management of company vehicles
- Office space planning and organization of any office works
- Management of office leases and management of landlord/tenant relationship
- Attendance at monthly Management Meetings and minute taking
- Liaison with company’s Health and Safety Manager to ensure that H&S policies and legal requirements are implemented
- Helping to ensure compliance with all company’s policies and procedures - quality and environmental management, GDPR etc
- 1 st pass review of client appointments, collateral warranties and letters of reliance

**Experience required**:

- Knowledge of Deltek PIM (Formerly Union Square) or other similar project management tools would be advantageous
- Excellent planning, organising, prioritising and problem-solving skills (Time Management)
- Self-driven, customer orientated attitude with a positive outlook and a clear focus on high quality and compliance
- Excellent attention to detail and accuracy
- Comfortable working as part of team and being a focal point for a number of business functions
- Excellent interpersonal skills with the ability to communicate clearly both written and verbal
- Able to work to deadlines and meet targets
- Quick Learner
- Honest and trustworthy

**Qualifications**:
Likely to be educated and trained in business management to Level 5 Advanced Diploma in Business Administration, or a graduate with relevant experience

Project Management qualifications would be advantageous
