Premises Assistant

**Job Title**:Premises Supervisor

**Responsible to**:Facilities Manager

**Responsible for**:Premises Team and 2 School Daytime Cleaners

**Work Pattern**:Contracted hours 37 hours per week, full time primarily, 08:00-16:00. However there may be some flexibility required to work some alternating hours to cover holidays and sickness. This role also includes the duties of key holder call out responsibilities.

**Annual Leave Entitlement**:33 days - includes 8 bank holidays and 3 statutory closing days. Annual leave must be taken in consultation with line manager

**Grade**:NJC Grade E Scale Points 7 - 12, with corresponding salaries of **£26,357 - £29,439** depending on experience.

**Principal Responsibilities**:
To lead the premises team to:

- Ensure the buildings are safe, presentable and well-maintained
- Ensure security of the school campus at all times.
- Ensure effective and efficient heating of buildings and minimising energy waste
- Monitor and maintain the cleanliness and hygiene of the site and report to the Facilities Manager.
- Act proactively to identify and resolve maintenance, operational and site presentation issues.

**Shared Responsibilities with other Key Colleague**
- Liaise with the Trust (TLP) Estates Team as required.
- Liaise with service providers, schools and colleges.
- Contribute to whole school targets.
- Support the Leadership Team with ‘on-call’, lunchtime, gate and other duties as required.

- Safeguarding and promoting the welfare of children and young people. To be alert and active on issues relating to pupil welfare, safeguarding and child protection and to pass on information and concerns (significant and low-level) to the relevant personnel in the school.
- **Main Duties**:
**Key Function 1: Planning & Coordinating**
- Manage incoming work through an IT based support desk, including monitoring and managing specific targets set by the facilities manager.
- Create shift rotas to both satisfy the needs of the school and those of external lettings.
- Liaising with the Facilities Manager, where appropriate, to help prioritise day to day action and effective deployment of Premises team and/or contractors.
- Liaison with contractors for site maintenance and larger or specialist repairs.
- Planning and resourcing larger site projects (in conjunction with the Trust Estates team as required).
- Stock management/replenishment of premises consumables within agreed limits and budgets.
- Ensuring accurate and compliant administration of contractors and premises related records
- Deliver training and professional guidance to the Premises team and Daytime Cleaners as required.
- Planning, managing and prioritising in house maintenance and logístical tasks using the school’s maintenance software.
- Liaison with contractors to plan and schedule all statutory, routine testing and inspection.
- Carry out termly condition assessments of the site and facilities to inform the school’s long term maintenance plan.
- Deputy for the Facilities Manager as required.
- Out of hours key holder contractor liaison.
- Coach and mentor the caretaking team where required to maintain high standards.
- Identify training needs of caretaking team and review with the facilities manager
- Ensure all staff are compliant with H&S requirements for working safely

**Key Function 2: Caretaking of Premises**
- Support the Facilities Manager to ensure compliant statutory testing.
- Support the facilities Manager when needed on daily inspection for health and safety and informing termly risk assessment.
- Undertake day to day practical elements of the caretaking role as required.
- Provide a high level of technical expertise to diagnose faults, perform repairs, and resolve problems.
- Deciding upon actions needed in repair or maintenance requirements (in house vs contractor).
- Engaging with contractors for emergency, routine and ad hoc works.
- Using maintenance equipment/vehicles for regular maintenance.
- Installing non specialist equipment and cabling and other resources.
- Running regular schedules checks to ensure that all premises systems are compliant and effective
- Ensuring effective and timely set up for school events with room layouts, arranging chairs and tables for meetings and clearing away afterwards.
- Ensuring effective receipt and despatch of incoming goods to the school.
- Ensuring security and effective maintenance of the school minibus.
- Oversight and supporting the secure unlocking and secure locking of the site and ensuring security of the site at all times.
- Manage the security and access of the premises both by the issuing and controlling of keys, but also by the use of the schools access control software.
