We are looking for a HR Secretary to join The People Team at The Pet Vet.

This role is responsible for key administrative tasks within the People team, thereby supporting all of the group’s colleagues, helping to achieve the vision for the business: to wow our customers by creating a happy, healthy and stimulating environment for all our colleagues.

We are looking for someone to work Wednesday, Thursday and Fridays (24 hours a week) on a fixed term contract for Maternity Cover.

**Duties and responsibilities**

People
- In liaison with the Recruitment & Onboarding Co-ordinator, provide administrative support for new starters:

- Set up on HR system.
- Manage the issue and receipt of contracts and relevant agreements.
- Book new starter inductions.
- Upload of completed induction checklists.
- Manage colleague pension arrangements.
- Manage colleague private healthcare arrangements.
- Manage colleague death in service arrangements.
- Manage colleague income protection arrangements.
- Manage colleague contract amendments.
- Manage communications regarding pay reviews.
- Book appraisal, return to work, performance management, disciplinary, pregnancy risk assessment and exit interview meetings.
- Ensure colleagues are receiving the correct salary, rewards and benefits.
- Manage birthday gifts/cards.
- Manage anniversary recognition gifts/cards.

Operations
- Book Vet post graduate certificate courses, ensuring they are covered under TPV training agreement.
- Book Vet CPD events, including arranging accommodation if required.
- Track CPD expenditure and days.
- Manage the administration of HR systems, ensuring all colleagues are registered and using the platform
- Prepare timesheets for payroll.
- Process holiday, sickness and CPD days.
- Manage TPV rewards and benefits schemes.
- Ensure contracts, appraisal documents, performance management meeting minutes, disciplinary meeting minutes, return to work forms and pregnancy risk assessments are loaded onto Sage HR

Customer
- Actively promote The Pet Vet and The Vet at every opportunity.

Strategic Activity
- Support the Central Support team and board in promoting the values of TPV.
- Demonstrate a commitment to continuous improvement to further support the business.
- Special projects as agreed with the Managing Director.

**KPIs**
- Colleague retention.
- Colleague engagement.
- Adjusted net profit.

This role requires a focused, self-motivated and organised individual who can use their own initiative.

The role holder must have the ability and adaptability to provide administration support to a busy and dynamic colleague team. This role therefore requires a confident but friendly individual who is extremely efficient but also personable & approachable and can communicate at all levels.

Because of the nature of some of the responsibilities, the HR Secretary must be trustworthy, understand the importance of confidentiality and show discretion when required.

Planning & prioritising are a necessity as well as providing a fully administrative service, so strong IT skills are a must.

The People Secretary must adhere to health & safety guidelines.

The role is based in a fast-paced environment.

This role is demanding and will be predominately desk based with significant VDU usage.
