The work that our nation Directorates undertake is integral to this. We have around 1200 members and many other stakeholders across the UK that all help to provide accessible and inclusive transport solutions in their community. We work closely with and receive funding from a range of stakeholders and funders to develop and deliver important work across the UK.

This role will play a vital role in supporting the administration for the programmes of work in each of the 4 nations. We are looking for a person that has a passion for administration and working on a variety of tasks and projects. You will need strong communication and organisation skills that have been gained working within a projects or events environment.

Purpose of Role

The Administrator will provide the general programme administration support for the work of the 4 Nation Directorates at CTA. The role will support the administration and coordination of the activities undertaken within each directorate working alongside the Country Directors and other team members to ensure that there is effective administration support provided for the projects, events and research undertaken by each nation team.

The role will involve establishing and maintaining good processes and systems in support of the CTA Advice service provided including managing team rotas for the service and supporting the administration of the member peer support sessions (currently called Community Building Sessions).

**Responsibilities**:
Administration for projects, CTA advice service, and reporting
- Coordinate the rota for the CTA advice service, working with the Advice & Support team to ensure there is sufficient cover for the service and monitoring and coordinating the level of floating support.
- Lead on ensuring that any changes to the advice service e.g. close down etc are actioned and shared with the relevant staff and communicated to members and wider stakeholders.
- Support with data entry from surveys or other projects onto databases, or spreadsheets.
- Ensure regular communication with staff, members and stakeholders throughout the year to monitor reminders, gather data and follow-up any actions required.
- Manage online content on CTA’s website related to projects in collaboration with nation team and marketing and communications colleagues.
- Collate and aggregate data and intelligence from the advice service, events and projects, to enable the team to draw out key statistics and insights for reports and communications.
- Support with the collation and recording of case studies on the database.
- Gather information for CTA’s quarterly organisational reporting on any relevant projects or activities.

Administrative support for project meetings and events
- Support the nation teams with leading on practical arrangements for online and in-person meetings and events, such as sending out diary invites and agendas, booking venues and creating registration pages
- Support the nation teams with organising a programme of online and in-person training sessions and workshops, such as dealing with queries and ensuring prompt payment of facilitators and trainers.
- Attend meetings as required to provide secretariat support including the production of minutes
- Maintaining information on the database in relation to setting up meetings and events and updating attendees.
- Provide diary management support for the nation’s meetings with national organisations and stakeholders regarding projects and activities of the team.

Administrative support with resource development
- Assist the Development Officers in the nations with resource development for the Knowledge Building hub on CTA website, for example, gathering information, uploading to the website or liaising with CTA members and stakeholders.

Stakeholders
- Support the nations with contacting CTA members where needed and appropriate to ensure they are aware of and involved in the work we do, sharing learning from across projects and nations.
- Support with the creation and management of relevant contact lists and groups and support with research to identify new contacts.
- Establish and nurture positive and productive relationships with the community transport operators and stakeholders taking part in CTA’s work.
