Position Overview:
To support all functions within the Parts Supply Chain department

**Job Description**:
Overview of the Parts Administrator
- As Parts Administrator you will be supporting the supply chain function by running the 'ESD Chase List', which is a spreadsheet populated from various sources; detailing outstanding orders and the respective order status, estimated ship date and providing insight into stocking levels for Service Controllers and branches.
- Adding emergency shipping charges to work orders on database, where we have identified possible claims for emergency shipments.
- Maintaining the First In/First Out stock report and creating stock churn analytics to be reviewed monthly.
- Reviewing and actioning aged stock orders where parts have been outstanding for some time; investigating through our database
- Liaising with various teams to escalate the order if required or cancel the order
- Creating Ad-Hoc reports for investigation, such as displaying priority orders where we have not been provided a lead time or the shipping date is delayed outside of usual parameters expected
- Maintaining unmatched Invoices to ensure all tied up where necessary and reporting where no matches are found.
- Creating Import/Export history on a monthly basis.
- Maintaining/Auditing Consignment Stocks where parts may be on an engineer's van, at a branch ready to use by an engineer or on a customer's site, analysing the surplus, deficiencies and requests by the engineer or client to ensure stock levels are good and well maintained
- Creating purchase orders and goods receipting as required on SAP.
- On a cover basis carrying out monthly PRA returns, creating the documents, organising the trailers and ensuring all running smoothly from office to warehouse to shipment.
- Assisting with annual machine and attachment audits.
- Assisting with the PSC mailbox where required.
- Carrying out site inductions, fire marshalling and organising contractors to attend site for general maintenance or for reactive visits.

Skills and Experience for the role Parts Administrator
- Full conversant with Microsoft office
- Experience in supply chain or parts or stock management preferred
- Process driven and organised
- Strong communication skills
