Innovate was established in 2012 and since then have been delivering the needs for Contractors and Surveyors in N. Ireland, Ireland and UK. The Company covers a vast range of products suited to the construction and infrastructure industries. Mainly known for Survey Equipment supplies, over the years we have grown to acquire additional partners which help the company provide end to end solutions on and off machine for Architectural, engineering and the entire construction community.

**PURPOSE OF ROLE**

As innovate continues to grow and develop, we are looking for someone with /Office Admin experience at their Antrim based office. Our office is located just 20 minutes outside of Belfast City Centre.

**DUTIES**
- Carry out daily general administration duties [ Scanning, Filing, Shredding] Reports on Minute taking for the team & distributing out & following up daily that all actioned, some reports will include transport administration & logistics admin [ locating parcels, tracking & tracing & updating customers/suppliers]
- Deal with the public as front of office.
- Coordinate the activities of the field service engineers, Director & team events
- Organise flights, hotels for engineers, senior management & help with admin prep of any events
- Diary management for the team especially the Director
- Assist with the Accounts dept. by helping to accurately log all information to reports to help assist with invoicing, purchase orders [ No experience is necessary as you will be trained on innovates Company system. If you like Office Admin but would love to have a variety with it then this is your opportunity for a bit more experience.
- Update/maintain contact lists
- Sign goods in and out to customers
- Provide dedicated cover for our team over any staff holiday periods etc
- Customer reports - you will work on the CRM daily and distribute any reminders to customers for equipment due in for service & manage that for the service & hire departments
- And any other duties as are necessary within the scope and purpose of the job as requested by the operations manager.

**ESSENTIAL CRITERIA**
- Demonstrate a strong desire for the role; wanting to learn and grow with the company.
- Good attention to detail, each tram member in each department will contribute to the training of our systems & procedures.
- Full data entry training will be provided by the Office Co Ordinator/Manager
- Demonstrate an ability to work on own initiative.
- Strong IT skills to include Microsoft suite.
- Excellent telephone manner with strong communication and interpersonal skills

**DESIRABLE SKILLS**
- Knowledge and / or experience within a busy office for more than 1 /2 years
- Proven administrative experience in a busy, pressurised environment.
- Sound administration skills with an understanding of the importance of paperwork and the accuracy and timeliness of submission of same

This job description is intended to give the post holder an appreciation of the role envisaged for the Data Entry/Office Admin Support and the range of duties to be undertaken. It does not attempt to detail every activity. Specific tasks and objectives will be agreed with the post holder at regular intervals.
