1. Responsible for instructing payroll on all payroll activities including processing payments in line with contracts of employment, implementing starters/leavers, ad hoc changes as requested by HR Team. To understand the different terms and conditions within the system to ensure that there is no risk to a wrong salary being processed.
2. To support the recruiter coordinating all recruitment administration for employees and temps from the advert stage to interviews, right to work checks, DBS, offers, references and contract through to on boarding so that the process is timely, fair and consistent in line with service standards.
3. First line of contact for HR, responding to all general employee queries (existing and new) regarding payroll, benefit information and changes to terms and conditions.
4. Ensure activities meet objectives and HR key performance indicators are met for the monthly deadlines and payroll runs.
5. Work collaboratively with all other internal teams, especially with Payroll, IT and the Finance system Ibuy. Maintain excellent relationships with external customers and new employees to ensure the experience is effective and efficient.
6. Process supplier invoices and credit notes through the Ibuy system ensuring correct codes are used for prompt payment to be made and discrepancies are dealt with to ensure clients reputation.
7. Maintain relationships with key stakeholders, partners, and other professional agencies and providers providing first class customer service.
8. Ensure H&S, regulatory & governance compliance for areas under the job holder's control, including meeting all regulatory requirements on end of contracts, DBS, maternity leave, salary and driver mandates for new and existing staff.
9. Maintain and develop the necessary processes relevant to the Groups records and systems, including the generation of the required audit trails and documentation for all changes to terms and conditions.
10. Manage risks associated with areas under the jobholder's control, including the need to ensure all payments are correctly made and authorised.
11. To keep abreast of the changes to legislation with regard to employment law, DBS checks for internal and external employees, internal changes and process/system changes within Itrent (HR System).
