Job Title: Finance Administrator

Location: Southampton Head Office

Reports to: Finance Manager

**Job Purpose**

The Finance Administrator at The Beehive Project will play a crucial role in supporting the financial operations of the organisation. Working closely with the Finance Manager, the Finance Assistant will be responsible for the Credit Control and administrative tasks to ensure the smooth functioning of financial processes and accurate financial record-keeping.

**Key Responsibilities**
- Produce and distribute sales invoices to the Local Authorities on a monthly basis, and during the month for new and leaving residents.
- Produce invoices to the residents for the cost of their accommodation.
- Generate and distribute customer statements.
- Chasing and collecting debts and reconciliation of accounts.
- Dealing with queries and issuing credits for any errors and ensuring this is followed up and authorised for payment.
- Maintain positive relationships with the Local Authorities to ensure debts are paid within a timely period.
- Maintain and reconcile sales invoicing with the Placement Table to ensure accurate invoices are produced. Working with the Placement Team and other staff to ensure the invoices are accurately produced.
- Assist in the IPAs sent by the Local Authorities, ensuring the forms are signed and returned.
- Daily monitoring and reconciliation of bank statements and allocation of customer receipts and other financial accounts.

**Other Duties**
- Assisting in entering the purchase invoices to cover for holiday periods.
- Monitor outstanding purchase invoices and statements as required.
- Assist in supplier and expense payments.
- Ensure compliance with financial policies, procedures, and regulations.
- Stay updated on relevant accounting principles, regulations, and best practices.
- Assist in maintaining financial files and documentation in an organised manner.
- Respond to financial inquiries from staff members and external stakeholders.
- Contribute to process improvement initiatives within the Finance Department.

**Person Specification**
- Previous experience similar finance admin role.
- Knowledge of accounting principles and practices.
- Excellent attention to detail and accuracy in data entry and record keeping.
- Ability to analyse financial information and identify discrepancies or errors.
- Good communication skills, both written and verbal.
- Ability to work independently as well as collaboratively in a team environment.

**Job Types**: Full-time, Permanent

Pay: £24,000.00-£27,000.00 per year
