Utilise your administration experience to provide a high quality, customer focussed service to ensure that the Trust People Systems are utilised to full effect and operate to the highest standards for colleagues and managers.

Responsible for helping users of the Electronic Staff Records (ESR), Absence Management System, Job Evaluation and policy associated systems with any related queries they have including access queries, system management and data retrieval. The role will perform administration duties in a manner that supports departmental targets and ensures compliance with standard operating procedures.

There is also a requirement to provide some one-to-one training to users of the system and to administer data quality and provision of regular and ad-hoc reports using the reporting tools available.

The Workforce Planning and Systems team forms part of the People and Organisation Development Directorate within the Trust. It is a small team who support Managers and users of the People systems as well as providing information for use by Senior Managers both internally and externally to the Organisation.

Act as the first point of contact for the HR team for transactional HR matters to support resolving HR queries regarding leave entitlements, sickness, staff transfers, retirements, payroll queries etc.

Provide standard Confirmation of Employment references as required.

Ensure a professional administrative service is delivered consistently with information being accurately relayed to the appropriate member of staff.

Input of data onto the necessary computer systems and spreadsheets e.g., change of circumstance/role forms, termination of employment forms etc. for all staff.

Monitor the People Systems inbox and deal with the queries in a timely manner or forward/inform the relevant department/person.

Liaise and communicate effectively with all colleagues within the organisation as well as external networks and providers.

Provide professional, consistent and timely People Systems support and advice to all staff as well as providing a streamlined and high-quality system support service.

Responsible for maintaining data quality within the HR Systems and ensuring information is accurate and managed in a timely manner.

Support in the preparation of, at times, complex or sensitive information on workforce and people policies and reporting, as required.

Administer the People and Organisational Development response to any Freedom of Information or Subject Access Requests.
