We are looking for a highly motivated and well organised Directorate Secretary to work at the Meadowbrook Unit.

The Directorate Secretary will provide a full and comprehensive administration service for multiple (minimum of 3) managers / clinicians within the Directorate Management Team, ensuring a well organised and effective service.

You will ensure each of your allocated manager / clinicians are well organised and are in receipt of all relevant tools required for the effective running of the service.

In order to meet the needs of the Trust services, you may be required from time to time to work outside of your normal area of work. The Trust reserves the right to change your normal area of work to any other location within the Trust.

You will be expected to produce work within tight schedules and to a consistently high standard.

You will also have exceptional organisational skills and be able to communicate at all levels both, within the Trust and externally.

- To provide a personal and confidential service to all senior staff within the directorate, including the typing of reports, general correspondence, minutes, agendas etc.
- Interrogate websites to retrieve guidance across a range of key issues pertinent to the work of the management team.
- Sort and distribute mail effectively and timely.
- Prepare and collate any team briefs / communication appropriate to the service, ensuring deadlines are met for effective information sharing across the Directorate.
- To fully participate in the supervision and appraisal process.
- Any other duties commensurate to the role.
- Work collaboratively with other Health & Social Care organisations
- Maintaining the Directorate Share point site, uploading documents and updating information when requested.
- Maintaining Microsoft Teams, uploading documents and updating information when requested.
- To design, create, prepare, and produce a range of complex documents from various sources and to specified deadlines, including all aspect of Microsoft Office i.e. Teams, PowerPoint, Excel, Word etc.
- To ensure all analytical data is presented appropriately when required.
- To assist in the preparation of reports and the monitoring of action plans for specific projects.
- In collaboration with managers / clinicians, ensure all arrangements relating to disciplinary and grievance issues are handled in a sensitive manner
- Identify and report any IT related issues using the relevant systems
