**Insights and Data Lead Recruitment Pack July 2023**

This is a new role working across multiple teams to use data and insight to build all our customer relationships and revenue. We want to matter more to more people. This means improving the way we collect and use customer data for making decisions, personalising communications, and providing people with creative experiences they will enjoy. **Purpose of the post**
- Manage Spektrix/CRM and other systems for customer data and relationships.
- Contribute to campaign planning and delivery by using data insights to build customer relationships and revenue.

**Explanations**
- Customer Data and Relationships includes all current and potential audiences, donors, participants, stakeholders, funders and visitors to the building.
- CRM (Customer Relationship Management) systems currently include Spektrix,

CrowdEngage and ResDiary.

**Working context**

This role works across multiple departments (communications, development, engagement and customer experience) to maximise customer relationships, audience insight and revenue growth through data and data systems. For line management purposes, the role reports to the Head of Development.

The role is based at the Octagon with an option for hybrid working.

**Main duties and responsibilities**

CRM systems and data
- Govern the use Spektrix/CRM and other systems and manage the relationship with system providers to optimise system effectiveness.
- Continuously understand the needs of internal and external stakeholders and ensure data systems are in place to meet these needs.
- Provide accurate and timely data and analysis for internal use and external reporting. This includes ongoing revenue data, campaign evaluations, customer feedback, sales reports to producing partners, funder reports, organisational impact reports and others.
- Integrate CRM data with other datasets, including EPOS, web and social analytics, to provide coherent data insights.
- Collate, programme and update information into the CRM, website and other systems on an ongoing basis. This includes building events for on-sale.

- Manage the integration and/or exporting of data to third parties including Arts

Council England and UK Theatre.
- Ensure seamless workflows between different systems including EPOS, website and finance systems, to maximise efficiency.
- Ensure the organisation is working with clean data, correcting any corrupt, duplicate or inaccurate records from our databases.
- Manage the organisation’s data compliance across all aspects of customer data.
- Identify opportunities to improve practices and systems, keep aware of industry best practice, and manage the introduction of system changes or new systems.
- Manage delegated budgets for CRM systems and maintenance.

Maximising customer relationships and revenue
- Contribute to campaign planning across all aspects of the Octagon’s work by embedding data insights into planning and decision making.
- Create data queries, lists and customer surveys as necessary.
- Manage data segmentation and identify opportunities to enhance customer relationships and revenue through personalised communications and customer journeys.
- Run automated programmes, surveys and communications to improve customer relationships and commercial objectives.
- Identify opportunities to increase customer data capture and communication permissions.
- Support colleagues with data selection for customer communications and social advertising.
- Contribute to ticket revenue management by ongoing analysis of demand and implementation of dynamic pricing.

Sales agency services
- Identify opportunities for the Octagon to provide agency sales services to other cultural events and partners in Bolton. Work with the customer experience team to prepare costed proposals.
- Manage the integration of agency customers into our CRM and other systems, ensuring effective delivery of agreed service standards and contracts.
- Identify opportunities for integrating and growing customer relationships across the

Octagon and cultural partners.

Internal support and training
- Provide ongoing training and coaching to all relevant staff on the use of CRM and systems. Work closely with the Customer Experience team to support frontline box office delivery.
- Attend meetings with relevant departments to embed customer data into all aspects of the Octagon’s programme, customer relationships and activities.
