The post holder will need to be flexible as they may be required to undertake cross site working to meet the needs of the service.

Normal working hours for the department are between 8am and 5pm

To be responsible for the validation of patients’ Referral to Treatment (RTT) pathways and for ensuring that complete, accurate and timely data is recorded on the computerised system to the highest quality standard.

Providing clerical and administrative support to the outpatient teams.

To provide an effective and efficient service including reception, records, preparation of clinical case notes and to work as part of a team providing a high quality service to clinical staff and patients.

To ensure the highest standards for patient experience and quality are maintained.

Co-ordination Duties
- To be proficient in the use of the current hospital system
- To work with operational staff to ensure that complete, accurate and timely data is recorded on the computerised systems to the highest quality standard, in accordance with national and local guidance. In particular the Trust’s Referral to Treatment Policy.
- To work with operational staff ensuring that patients’ waiting times are validated and accurately reflected within the 18 weeks RTT PTL in line with Department of Health guidance. This will involve identifying and recording 18 week clock starts, through the use of PAS and reviewing letters. To review Diagnostic Waiting Times and validate all PTL’s as required.
- Required to communicate complex information and processes re RTT to all relevant staff, so that they understand the possible implications
- Function as a HISS ‘Super User’, utilising the skill and expertise associated with the role to maintain data quality to the levels expected by the Trust.
- To be responsible for and oversee the management of consultant clinics
- To maintain the clinic template managing capacity and demand in conjunction with the clinician(s) and team leaders
- To be aware of individual consultant guidelines with regard to overbooking of clinics and ensure these are adhered to in order to minimize the disruption to clinics
- To liaise with clinicians, nurses and team leaders in identifying need and organising ad hoc sessions
- To be responsible for receiving and managing new referrals within target timelines
- To be responsible for managing the outpatient follow up waiting list ensuring patients are seen within clinical timelines as specified
- To ensure that are clinics are closed down, computerised systems are updated and further actions taken
- To manage test results as per local processes
- Follow private patient and overseas visitor processes

Reception Duties
- Provide cover on reception, receiving and directing patients, visitors and staff in a courteous manner.
- To direct and redirect telephone calls in a polite friendly manner
