The Clinical Student Administrator will ensure that the administrative processes required to support the (non-medical) clinical student agenda are developed and maintained, servicing the appropriate meetings and task groups relating to clinical students’ activities and requiring administrative support. The post holder will be responsible for the maintenance of the relevant databases to ensure that data returns to Health Education England are accurate and timely.
- Provide generic and specialist administrative support to the Clinical Education Team
- Preparing documents/reports/correspondence for distribution and presentation as appropriate.
- To work with other administrative colleagues to ensure adequate office cover and support.
- Administrative support for the Induction of learners
- Work closely with the IT, ID and Digital Identity Services to ensure robust processes are in place for the provision of IT and ID for all new learners.
- Ensuring team databases are current and accurate for all (non-medical) students and educators.
- Support the Clinical Education Team to maintain accurate and up to date quality data, records, audits, quarterly reports, PARE data and figures for all learner groups.
- Support the monitoring of PARE feedback and escalate the information accordingly.
- Coordinate appropriate training sessions and disseminate using the Trust communication systems.
- To assist and provide administrative support
- To be a point of contact for the Clinical Education administration office and to deal with internal and external enquiries relating to students and placements.
- To arrange induction for students
- Receive and triage communications
- Send communications via an appropriate medium and maintain up-to-date distribution lists
- To collect and process student activity data, to produce accurate reports
- To collect and process monthly activity relating to educators and maintain an accurate register
- To work collaboratively on projects or workstreams which involve all of the Trust
- To arrange, co-ordinate and facilitate events as required
- Maintain shared calendars and where appropriate set up meetings.
- Ensure that information and/or work requested from Clinical Education Team, or others is received in a timely and accurate manner.
- Maintain, up to date and efficient electronic filing system.
- Be able to work as part of a team whilst being able to prioritise work independently.
- Actively contribute to team development.
- Assist in the maintenance/provision of management information and statistics
- Maintain and edit information on webpages and support with social media.
- Maintain team stock levels and order supplies
- Be responsible for accessing various Trust systems to identify and input relevant information required for report writing.
