Location: Ipswich, IP39QR

**Salary**: £23,000 PA (TBC)

Hours: Mon - Fri 09:00 - 17:00

About Us:
Due to continuing company growth, Universal System and Controls are actively looking to expand our current dynamic team, based in Ipswich. We are seeking the role of an Office Administrator to join our fast-paced service team.

Office Administrator - Key Responsibilities:

- Printing drawing and documentation
- Answering telephone calls and dealing with enquires
- Document Control
- Record and track engineers' holidays
- Vehicle check list
- Engineers Tools & List
- Engineers PPE & Uniform requirements, including ordering
- Oversee timesheets of engineers, including scheduling, submission and accuracy
- Liaising with Project Managers and assisting with project requirements, i.e., O&M Manuals
- Liaise with HR on staff sickness and holiday requests
- First point of contact for service calls to record on database and distribute to engineers accordingly
- Keep up to date maintenance calendar and send out annual renewal fees
- Scheduling and dispatch of service engineers and sub-contracted resources
- Ensure engineers reports are sent in regularly, read through and send to client
- Update client's portal with works completed
- Invoice works as completed
- Liaise with accounts any queries relating to financial matters
- Raise purchase orders for materials required
- Assisting in the USC Bureau Support
- Booking Accommodation & Travel requirements

Reception
- Providing a warm welcome to all. Dealing with telephone and face to face enquiries in an efficient and professional manner
- Providing hospitality for visitors
- Ensuring that all messages are dealt with in a timely and accurate fashion and, where relevant, relayed to colleagues promptly
- Providing information and support to other staff members as required
- Dealing with all Goods In/Goods Out deliveries/collections

Office Administrator - You:

- Excellent verbal and written communication skills.
- Computer literate
- Flexibility and commitment
- Ability to deal with high work volumes and priorities accordingly
- Be customer focused
