**Your role**:You will provide strong administrative and organisational support to the News UK’s Commercial, Compliance, and Broadcasting Legal Team which includes - Broadcasting, Employment, Intellectual Property, Commercial, Corporate, Data Protection and Compliance teams. You will facilitate an organised department and promote a positive, productive and motivated working environment.

**Day to Day**:

- Contracts Management System - Uploading contracts with a view to supporting the team to ensure that the end to end process for signing and storing contracts is completed in a timely manner.
- Administrative support - Ordering stationery, organising archiving, arranging couriers, dealing with incoming and outgoing post. Liaise with IT on behalf of the team when needed.
- Reports - Manage HR Internal Risk Register and run a monthly report. Updating monthly Litigation Report documentation as requested by the team.
- Diary - Arranging meetings for the teams - Including team training, internal and external meetings. Booking meeting rooms, visitor passes (when required) and assisting with any technical support.
- Document management and creation - Document creation and assistance - Preparing agendas, correspondence and legal documents. Drafting and formatting contracts, presentations and reports. Printing, collating and binding documents as required. Maintenance of Legal precedents.
- Record management - Maintain and update the team’s filing and record keeping systems, ensuring the confidentiality of all documentation.
- Expenses - Create and submit expense claims on behalf of the team.
- Invoices - oversee the receipt and filing of invoices from law firms, track approvals and payments and record on team invoice trackers.
- Travel - make travel arrangements and create itineraries.
- Clients - Attend to requests and queries from both internal and external clients and guests in person and on the phone in a professional and courteous manner, provide efficient and effective message taking and follow up, where necessary.
- EA Annual leave Cover - Work collaboratively with the General Counsel’s Executive Assistant and provide cover in the EA's absence.
- General team assistance - Assist with the onboarding new legal services firms, organise social events, collate instructions for annual trade mark renewals, action copyright take down notices, assist with annual regulatory renewals
- Work experience administration - arranging passes and equipment, collecting them from reception, making sure they sign a confidentiality agreement and that they have a work schedule and are looked after.
- Legal projects - helping the team on confidential projects as required.

**What we’re looking for from you**:
You will be someone who can provide a high standard of legal secretarial and administrative support to the Legal team. This is a busy role assisting a number of stakeholders so accuracy, organisation and prioritising is an essential key skill.
- Previous secretarial experience, working in a Legal team would be an advantage.
- Displays a willingness to take on any task with a positive attitude. A good team player who takes initiative in order to achieve desired results with a proactive approach.
- Ability to manage a varied workload, to determine priorities and meet deadlines.
- Excellent oral, written communication and presentation skills. Ability to draft, proofread and edit documents for spelling, grammar and punctuation.
- Organised, methodical and takes pride in the quality and accuracy of work.
- Able to interact positively with staff at all levels of the company being an ambassador for the Legal team and also a team player.
- Discrete and understands the importance of protecting confidential information.
