**About us**
Rondel House provides a Day Service for older people who live in the Central & Eastern areas of The Vale of Glamorgan, who may suffer from age related frailty, chronic illness, disability and/or dementia.
We currently run a 5-day service, Monday to Friday, and provide a safe environment where people can interact and have fun through a range of activities. Our aim is to keep people as independent as possible but also to provide social stimulation and prevent loneliness. By coming in to a Day Service it allows carers to some time away from their caring duties and gives them some respite.

We have a range of facilities on site including a fully accessible environment; main day room for socialising; a quiet TV lounge; assisted bathroom; interactive technology and craft equipment.

At Rondel House we provide a lunchtime meal to ensure good nutrition. Our experienced staff team are able to help with personal care and we have specialist disability equipment available on site.

We are looking to recruit a Business Support Administrator to support our Day Service and older person services across The Vale of Glamorgan.

**About the role**
Pay Details: Grade 4 SCP 5-7 £21,575-£22,369
Main Place of Work: Rondel House, Maes Y Cwm Street, Barry

Hours of work: 30 hours per week

Duties to include:

- To provide a front line reception service to Adult Services bases ie answering telephone, dealing with visitors, processing incoming post, receiving deliveries.
- To assist with the general day to day running of the base ie monitoring stock levels of PPE, booking and recording maintenance, requesting IT support, following security measures, updating public information.
- Creating and maintaining electronic systems to log and track information eg Excel spreadsheets, databases, for the purposes of reporting information as required by Vale Team and Senior Management, Local Health Board, Welsh Government
- As the primary contacts for the Team, responsible for processing referrals received ie preparing information for screening, updating WCCIS client database and administering / monitoring waiting list systems, maintaining a high level of quality assurance in accordance with the current protocols.
- Collate, monitor and provide waiting list information for allocation meetings in order for cases to be allocated efficiently on a priority basis.
- Maintenance of computerised record systems WCCIS, TRIM / Content Manager, Paris to include updating referral statuses and allocations, amending core demographics, recording Mental Health Act statuses and Impairments, data cleansing.
- To assist Team Managers / Practitioner managers with HR processes ie sickness recording and monthly reporting, the calculation and recording of annual leave, probation prompting, recording special leave/ study leave, recording of staff training schedules, completing leavers forms.
- To provide full administration support to Adult Teams to include printing, uploading documents to multiple systems WCCIS, Paris, Trim Content Manager, arranging meetings, booking rooms, creating forms, creating new user profiles with Vale IT systems.
- Attending and taking minutes of Team Meetings and distribution of the same.
- Monitoring inventories and stock levels. Raising orders on Oracle to purchase stationery and equipment.
- Payment of invoices using the Oracle system
- To liaise with and develop strong communication links with all other departments of the Vale of Glamorgan Council and Health Authority.
- Compiling Team rotas and updating electronic / outlook calendar systems.
- Supporting with the daily monitoring of the Lone Worker system in accordance to the procedure in place.
- Assisting / supporting the training of new colleagues in the Administration Team and wider teams to learn internal processes/systems
- Extracting information from internal systems following Freedom of Information requests within strict timeframes

- Experience of working in a busy office and meeting deadlines

Experience of working with computerised information systems

Experience of team working.

Good all-round computer knowledge, including computer-based information systems (Microsoft Access, Excel)

Good communication skills

Good interpersonal skills

Ability to manage and retrieve information.

Ability to prioritise workloads and work under pressure

Ability to work in a constantly changing environment.

4 G.C.S.E. English & Mathematics (or equivalent)
