Reporting to the Global Logistics Manager, the Global Export Coordinator will manage and track the progress of all export and import shipments end to end and ensure accurate and timely filing of required documentation. This individual will manage import and export documents (e.g. permits, EUR1s, COO, POAs, etc.) to meet HMRC custom audits, maintain files and records of orders, prepare summary reports for internal and external parties, and provide monthly support to Finance for revenue recognition.
- This role will also require writing Work Instructions in collaboration with all Seqirus and Freight Forwarder parties to ensure all aspects are planned. This individual will seek to continually improve the order management and related supply chain processes to enhance customer service and department efficiency. Strong collaboration with commercial teams, manufacturing sites, and external customers within assigned countries is required.- Track inventory movements and status- Seek updates on batch release dates and changes to batch status to trigger shipments.
- Create and manage export and import documents and in a timely manner. Execute transactions in SAP. Create offline documents for exporting. Liaise with Chambers of Commerce for documents
- Manage and track the progress of all export and import shipments end to end using tools such as DHL and LifeTrack
- Identify issues and proactively develop mitigation plans
- Use SAP to check inventory movements
- Provide information to support writing of deviations should they occur in a shipment
- Follow up on invoices for trade lanes used. Ensure data is with the Global Export Manager
- Monitor and register key export and import documents- Track, monitor and register key export documents such as permits, EUR1s, COO, POAs
- Store required documents on the Global Logistics SharePoint site
- Audit documents regularly to ensure quality and completeness
- Participate in AEO and self-audits for Trade Compliance
- Maintain knowledge of new/updated import/export regulations- Understand new/updated regulations and track trends affecting imports/exports
- Be curious, develop strong knowledge in SAP to route cause any issues preventing export documents to be created in SAP. Raise Tickets as required to the SAP Support Team.
- Use external sources such as Croner-I to better understand constraints when shipping into countries (e.g national holidays, major airports, key additional documents required for import).
- Participate in testing for future SAP enhancements
- Continually improve logistics supply chain processes- Proactively look for ways to improve our end to end processes to enhance customer service
- Recommend and implement process improvements in conjunction with the Global Logistics function
- Assist in developing logistics documents to outline steps and processes
- Stakeholder relationship management and collaboration- Identify the key stakeholders (e.g. Commercial, external customers, etc.) that enable successful logistics/shipping
- Proactively collaborate with these external stakeholders to identify challenges and partner on solutions
- Minimum Experience Requirements- SAP skills is essential. Practical experience of using SAP STOs and SOs transactions
- Minimum of 3 years’ experience of road, air and sea shipments, cold chain 2-8C
- Experience with export coordination working with 3PLs and SAP
- Strong export background
- Experience working in a regulated and GMP environment
