St Albans, United Kingdom Kenburn Waste Management Ltd Full time

**MAIN PURPOSE OF ROLE**:

- Provide reception and general office administration services
- First contact for incoming telephone calls
- Maintain stocks of consumables
- Credit control
- General accounts including processing invoices and payments
- Undertake periodic internal ISO audits

**KEY ACCOUNTABILITIES**:
**I Reception & General Administration**

Provide first response to all incoming calls, handling the caller’s enquiry whenever possible or redirecting calls as necessary

Process incoming and outgoing post

Monitor and order stationery and office equipment consumables

Perform weekly fire alarm tests and maintain fire register

**II Equipment Consumables**

Handle and process sales orders for baler & compactor consumables, including the daily online processing required to despatch and invoice these orders.

Monitor stock levels and purchase consumables from existing suppliers to ensure correct levels are maintained

Periodically review competitor prices and identify alternative suppliers

**III General Accounts**
Process invoices and payments
Reconcile statements
Check sales ledger account
Credit control

**IV Service Administration**

Plan and undertake periodic process audits of Kenburn’s ISO 9001 Quality Management System Certification in conjunction with Kenburn Director, producing audit reports and updating documented procedures as required.

Ensure that licences for hazardous waste production and hazardous waste transport are renewed by due dates.

Work with the engineering to supply relevant documents to complete the annual Safe Contractor online questionnaire and customer health & safety questionnaires.

Administer operational company checks and maintain records in the following areas: annual checks of engineers’ tools and driving licences of all business drivers, and the bi-annual PPE and ladder inspections. Check that routine checks are being performed by due dates by relevant personnel on Kenburn equipment including PAT tests and LOLER inspections.

**Personal Profile**:
A good standard of education to a minimum of GCSE level (inc. Maths and English)/City and Guilds.

The individual should be able to communicate verbally and in writing with customers, in a prompt and professional manner.

Able to work well on own initiative, remaining calm under pressure and be able to demonstrate an organised and methodical approach to work.

The individual should be flexible and willing to learn new skills

Hard working and loyal, with a positive work ethic.

A good team player who promotes good morale.

The individual should show a positive ‘can do’ approach to their work and demonstrate evidence of their achievements when working under pressure.

Initiative should be demonstrated with evidence of new ideas or working practices that have been put in place as a result of their suggestions for improvements.

Work should be accurate and thorough so assignments are completed correctly at the first attempt.

The individual should be able to prioritise their workload such that key tasks are completed within agreed deadlines.

The individual should work well with their colleagues balancing the needs of the team with those of the individual so that there is a positive and supportive atmosphere in the work environment.

**Key experience**:
A competent administrator, with experience of working effectively in administration and accounts, ideally with credit control experience

An excellent telephone manner

Sound Word and Excel skills and generally comfortable with IT systems including Microsoft Office

Knowledge of Xero would be ideal (or other Accounts systems)

**Job Type**: Part-time
