**About the role**:
To be well-organised, have great time management skills and can communicate effectively. Provide comprehensive and confidential administrative and secretarial support to the Managing Director. Oversee the smooth running of all functions within administration and Reception at Head Office.
The incumbent will be dealing with both internal and external contacts at the highest levels and will need to demonstrate excellent interpersonal and communication skills. A high level of professionalism and tact is essential for this role.
As a PA
- Administer and organise business affairs of MD, e.g. meetings, travel, etc.
- Undertake projects and tasks as required by the Managing Director.
- Assist in the production of the CEM Board packs in accordance with each year’s meetings schedule.
- Update and distribute Management reports as required.
- Responsible for co-coordinating and taking minutes at meetings
- Compose correspondence and reports as appropriate.
- Field incoming telephone calls relay messages and ensure prompt action is taken as appropriate.
- Diary management, arranging and updating appointments as required.
- Receive and process mail.
- Maintain effective and secure filing systems.
As an Office Manager
- Line Manage Administrator and Receptionist.
- Ensuring business administration is kept up to date, organised and that the wider team feel supported.
- To ensure a one team approach within Admin and Reception. Supporting the cover of roles within the team when colleagues are on annual leave.
- Plan and organise office moves as required, working in conjunction with IT.
- Work well with the company Facilities Manager, be responsible for feeding back any issues within the building.
**Conditions of Work**:
The job holder is office based. Hours of work are 9.00am to 5.30pm Monday to Thursday and 9.00am to 5.00pm on Friday. There may be a requirement to work occasional unpaid overtime, particularly during peak business activities.
The work requires concentration and the ability to work under pressure when handling numerous and conflicting priorities. Effective time management and ability to adapt are essential.
The incumbent must be able to communicate effectively at all levels.
**About you**:
We are looking for an experienced, proactive and adaptable Personal Assistant who will thrive in a fast-paced, growth orientated and ambitious business. You will have the proven ability to support a Managing Director, Senior Director or Executive and understand the need for confidentiality at all times.
Our new Personal Assistant will have excellent problem solving skills, be highly organised with a structured and timely approach to their work. You will also be able to work outside of your routine, think on your feet and enjoy a varied and diverse set of responsibilities.
The ability to anticipate requirements ahead of time will be a skill you are proud of, along with your confident communication and interpersonal skills.
We are also looking for someone with strong IT skills including all Microsoft packages and the ability to take minutes and actions in meetings.
**You will**:

- Have knowledge of Microsoft Office, Outlook, Sharepoint
- Have excellent Time management skills

- Have experience of minute taking
- Be competent at Audio typing
