We are recruiting for the role of Wealth Management Administrator to join a successful Partner Practice of St. James’s Place Wealth Management based in Harrow (HA3 7). This role would ideally be suited to a graduate ready to take their first steps in this career, or an individual with previous experience in a similar role.

**Role overview**

Working as part of a team, you will be supporting the Principle Partner, Operations Manager, financial advisers and other support team members to provide a first class administrative support service to the business and its high net worth clients.

**Role content**

The role is predominately made up of a client servicing and business processing tasks which take place within a team environment including the following:
**Client Service**
- Answering telephone calls as part of the wealth management team for incoming enquiries, working closely with Operations Manager to provide accurate and timely responses to clients.
- Dealing with client general queries and all related administration.
- Preparing meeting packs for Business Owner, in line with client service proposition.
- Calling providers for up-to-date valuations/contributions/withdrawals for meeting packs and updating spreadsheets/checking calculations.
- Updating CFR and CRM of client status updates/changes in circumstances, and SCDD date, following meetings held.
- Processing switches & withdrawals via My Practice, including switch follow up letters.
- Liaising closely with Administration Centre to obtain details on client policies, as and when required.
- Change of address management via My Practice and updating Practice CRM accordingly.
- Assisting clients in registering for SJP Online Services, supporting Operations Manager where appropriate.
- Working closely with Paraplanner to ensure all ID and AML is up to date for clients.
- Ensuring all prospect and clients are logged onto Prospect Manager system (home address and work address) and log expiry dates, to ensure all clients are ringfenced to the Practice.
- Keeping clients updated on significant stages of their wealth management investment, liaising closely with Paraplanner and Operations Manager.
- Using the internal intranet system to manage client basic enquiries

**Business Processing**
- Issuing letters of authority, checking timelines and receipt, and chasing until full information is received, completion of checklist ready for CYC calculation by Paraplanner.
- Updating CFR with up-to-date valuations/information from ceding providers.
- Completion of Handover information and CFR ready for Paraplanners to write reports.
- Liaising with Paraplanners and turnaround times on Reports and ensuring timely submission/upload of documents to compliance.
- Creating Illustrations, advice sets and uploading appropriate documentation to I-Business.
- Preparation of simple top up Suitability letters.
- Issuing own signed suitability letter reports to clients.
- Chasing cases through pipeline to ensure they are ‘issued’

**Team Working**
- Daily updating of WIP with Operations Manager & Paraplanner, to ensure business is being processed timely and in line with Practice service level standards.
- Attendance at WIP meetings. Ensure fully prepared ahead of the meetings.
- Dealing with incoming post distributed by Operations Manager and actioning accordingly
- Managing all actions in a task management system in line with company service standards. Keeping a note of times/dates of telephone calls and people spoken to.
- Regular (daily where possible) team sessions with Operations Manager to discuss workload/agree priorities
- General scanning, filling and e-filing.
- All other Administration support, as required.

**Personal Attributes**
- Graduate - seeking to develop their career in Wealth Management, or previous experience in a similar role.
- Well-presented and professional.
- Prior and proven financial services administrative and customer service skills.
- Basic understanding of financial products.
- Good organisational abilities and to be able to work calmly under pressure.
- Good written and verbal communicator with a high level of attention to detail
- Proactive and able to work on own initiative.
- Enjoys working in a fast-paced environment with a flexible approach to their workload.
- Ability to be able to adapt to last-minute changes. Enjoys working as part of a small team.
- Willing to commit long-term.
- High level of computer literacy including Word, Excel, Outlook and CRM systems

**Additional information**
- Salary: £22-30K per annum
- Location: Harrow (HA3 7)
- Hours of work: 9.30am - 5.30pm or 9.00am - 5.00pm if preferred
- Work from office / Hybrid working opportunity
- Pension: Auto-enrolment pension provided
- Holiday: 20 days plus bank holidays

**Salary**: £25,000.00-£30,000.00 per year
