About the role
The Administrative Coordinator in the IT department plays a crucial role in supporting the department's operational and project-based needs. This position requires a blend of administrative prowess, technical understanding, and excellent communication skills to ensure the smooth functioning of the IT department.
This role requires a blend of technical understanding, excellent communication skills, and the ability to manage multiple tasks efficiently.
This role operates within an office environment but may require occasional visits to various departments or external vendors. The ability to adapt to fast-paced IT projects and deadlines is essential.
**Responsibilities**:
Provide administrative support to the IT department, including scheduling meetings, managing calendars, and organising departmental records.
Assist in the preparation of regularly scheduled reports, presentations, and IT documentation.
Collecting and producing regular team communications.
Liaise with other departments and external vendors to resolve issues and ensure smooth operation of IT services.
Scheduling and attending meetings, taking minutes and maintaining confidentiality.
Pro-actively sharing knowledge and communications across relevant teams.
Supporting in administrative tasks, including the tracking of costs and the creation of purchase orders (training given).
Creating and distributing technical and business documents, including board packs, presentations, and reports, adhering to company guidelines.
Supporting the senior team with administrative duties.
Perform other administrative tasks as needed to support the IT department.
Proven experience as an Administrative Assistant, Personal Assistant, or similar role, preferably within an IT or technical environment.
Strong understanding of Office Management Systems, procedures, and IT-related terminology.
Excellent time management skills and the ability to prioritise work.
High attention to detail and problem-solving skills.
Excellent written and verbal communication skills.
Strong organisational skills with the ability to multitask.
A basic understanding of IT infrastructure and operations is advantageous.
