**PEOPLE TEAM ADMINISTRATOR**

The People Team Administrator is an important role supporting the People Function and providing a ‘best in class’ HR service to colleagues across Essex and Herts Air Ambulance Trust (EHAAT)
- Permanent
- £25,000 pa
- 37.5 hours/ 5 days a week (PT will be considered minimum of 4 days a week)
- Based at North Weald with weekly attendance at Earls Colne. Hybrid working (up to 2 days a week at home)

**ABOUT US**

Essex & Herts Air Ambulance, unlike NHS emergency services, is a charity. This free life-saving service is provided 24/7 by helicopters and rapid response vehicles.

Each critical care team consists of a pilot and co-pilot, a pre-hospital care doctor and a critical care paramedic.

They can be rushed to the scene with life-saving support equipment to deliver advanced clinical care, usually only in the hospital emergency department.

Once stabilised, the patient will be conveyed to the most appropriate hospital by air or land.

Without access to National Lottery funding and with only limited support from Government, we rely upon the generosity and goodwill of the people and businesses of Essex and Hertfordshire to remain operational and keep saving lives _**we can’t fly without you**_

**ABOUT THE ROLE**

The purpose of this key role is to deliver a robust People Team support function, working with colleagues across EHAAT.

This is a crucial role in enabling the organisation to support, grow and develop our team, delivering a comprehensive HR service in line with our values.

**SPECIFIC DUTIES AND RESPONSIBILITIES**

**Employee Data (PeopleHR)**

Manage and maintain accurate employee data and produce analysis of data as required.

All employee details
- New Starters
- Change of status
- Leavers
- Induction
- Probation
- Personal/Personnel Documents - Including all recruitment and job descriptions
- Appraisal document

Payroll Data
- Updating People HR
- Entering changes onto payroll system
- Providing payroll info to People Director and People Manager for sign off, and once approved submit to Finance before Payroll cut-off date

People HR reports - Monthly
- All absences report
- Sickness absence report - ensure 100% completion of all requirements such BTW interviews, Self-certificate, FIT notes etc.
- New starter report - check all data complete and documents are correct and uploaded
- Induction report - monitor for 100% completion & sign off. Track and prompt as necessary working closely with colleagues in other teams
- Leaver report - ensure all HR processes completed and documented, liaise with workplace team to ensure all equipment returned and IT account closed

PeopleHR
- Create, maintain and update all letter templates as required

**Recruitment**
- Proof and post recruitment adverts
- Prepare all documents for panel
- EDI data - produce quarterly report & analysis against previous quarter.
- Diary management with recruiting managers re interview and shortlisting schedules
- Book rooms for interviews and set up any presentations
- Onboarding - contracts, letters, forms, right to work documents

**HR Administration and support**
- Coordinate the delivery of the induction programme.
- Provide support to manage probationary periods and reviews, PDR process and all employee life cycle events
- Support the People Team in the implementation and adoption of any projects that affect our structure, ways of working and how we manage our employees. Examples include restructures, staff surveys, Wellbeing initiatives etc.
- To oversee relationships with partner recruitment agencies to deliver exceptional results when working to recruit for specialist and temporary roles.
- Review annually Occupational Health Providers prior to renewal.
- Design a format for quarterly People Team newsletter
- Create HR Policy templates and ensure consistency of presentation and upload to intranet
- Produce annual calendar EDI events etc. & formulate action plan to proactively coordinate all annual events
- All variation of contract letters produced via template.
- All other duties commensurate to the level and purpose of the post as required
