**Accountable To**:Head of Property, Purchasing and Logistics

**Overall Purpose of the Role**

To assist the Facilities Manager in the provision of a high-quality facilities service in line with legislative requirements for all St Luke’s premises, to a standard agreed with the Head of Property, Purchasing and Logistics.

**1.0 **Key Responsibilities**

**Supporting the Facilities Manager in the following areas**

1.1 Management of the St Luke’s estate; ensuring all buildings are safe, secure, clean, healthy, high-quality environments for patients, staff, and visitors and they are maintained in line with current legislation and operate to high standards. This will include management of annual legal and regulatory inspections.

1.2 Planning, supporting and undertaking project work as directed by the Facilities Manager. This will be support of large projects such as new shop refurbishments and becoming responsible for the management of smaller projects such as office moves or local works and smaller fit-outs.

1.3 The management of small service contracts initially and progressing to contract management for high-value contracts.

1.4 Monitoring and developing the estate software system (Vantage) to ensure all estate related modules are maintained and managed - providing appropriate, accurate and timely management information (MI) as required.

1.5 The effective management of non-clinical Health and Safety through induction, training, risk assessments, audits and reporting and safe to work permits - to be consistent with organisational policies, procedures and practices. This will include studying for appropriate H&S qualifications as required.

1.6 Inputting into and supporting the sustainability strategy and goals of the organisation related to the Estate. This includes working towards finding new, innovative and economically viable ways to support the organisations approach to becoming net-zero.

1.7 Inputting and reviewing estates related procurement and budgets and in particular to lead on the procurement of stock to maintain all services for the Facilities team.

1.8 Supporting the transport team and the organisation’s transport provision; with the aim of meeting stakeholder requirements, in line with appropriate policies and within budget.

1.9 Deputising for the Facilities Manager in representing the department at internal and external meetings where required.

1.10 Maintaining strong lines of communication with all team members, Facilities Manager and Heads of Departments, helping to build and maintain the highest levels of customer service.

1.11 Respond appropriately to emergencies and assist in the development of contingency plans.

1.12 Support the Facilities Manager with the planning of future developments in line with St Luke’s strategic aims.

1.13 To be involved in the development of policies and procedures and to ensure that they are followed appropriately.
