Administration / Office Assistant

This is your opportunity to join a well-established and growing company as an Administration Assistant. This role will play a crucial function in supporting well-organized office operations. Our office is based in Sutton, Southwest London with great transport links and free parking on surrounding roads.
**Responsibilities Include**:
2. Monitor supply levels and place orders to ensure a well-stocked workshop
3. Coordinate daily work schedules for field teams by booking and allocating jobs
4. Maintain our CRM system.
5. Prepare client quotations and completion reports.
6. Demonstrate dedication in completing all required tasks efficiently.
7. Complete paperwork for new supplier and subcontractors.
8. Support the Office Manager with basic accounts tasks.
9. Liaise with clients and technicians to provide ETAs and to reschedule bookings if necessary.
10. Creating and sending invoices and taking deposits / payments
11. Ordering parts, products and materials for upcoming projects, equipment maintenance and office needs as required.
12. Maintaining office cleanliness and organisation
13. Completing health and safety/ RAMS admin for upcoming jobs
14. Geographic location mapping and providing leaflet marketing support
15. Any other administrative tasks necessary
**Essential Requirements**:
- Positive attitude and reliability
- Good quality customer service
- Proficiency in MS Office (Word,Excel, PowerPoint, Outlook).
- Independent problem-solving ability.
- Excellent organizational and time-management skills
- Strong written and verbal communication skills and good levels of numeracy
- Ability to work collaboratively in a team and follow instructions.
- Eagerness to learn and grow within the company
**Desirable**:
- Previous experience working within an exterior cleaning / construction / conservation company
- A working knowledge of London & Surrey postcodes and travel distances
- A full, clean UK driving license
